Job Purpose:

The purpose of the role is to ensure a high level of mailroom and scanning service to the campus and support other FM Team activities service delivery in all aspects of porterage and to provide a high standard of cover to the goods-in department. To provide building services in accordance with the contract specification including all aspects of porterage, mailroom and scanning service to the campus and support other FM Team activities. This is a challenging post requiring strong administrative, organisational and reporting skills. The incumbent will be a motivated self-starter and will ideally have a background in postal scanning and mail room duties. It will be necessary to form strong relationships with customers, staff, managers, peers and suppliers



Key Responsibilities:

Sort, collate and distribute all incoming Royal Mail and courier items into bundles for scanning or delivery to agreed drop off points as appropriate in accordance with Service Level Agreements
Log and record all mail transactions on appropriate spreadsheets.
Preparation, inputting and naming of mail for scanning and uploading into document management system or shared drive as appropriate
Accurate archiving of scanned items for off-site storage and liaise with storage provider
Resolve issues with both hard copy and electronic postal scanning systems and direct inaccurately addressed mail to correct recipient
Ensure that high priority incoming and outgoing mail is processed in accordance with its priority
Collect all outgoing mail from mail points for collection, and collate and frank mail for collection by HCC courier or Royal Mail by agreed deadline
Process monthly figures and franking machine updates
Cover for other roles within the facilities team as required including main reception, FM Helpdesk and goods-in
Carry out other duties as required, including but not limited to, general porterage, maintenance of site notice boards, first line support for multifunctional devices, fire marshal and site evacuation duties and heavy lifting (eg goods-in)

Skills & Experience:

Good oral and written communication skills
Ability to use:
databases e.g.- ACSIS, ICS, Livelink, Kofax ascent capture version 7,Virtual rescan version 4
Good knowledge of computer applications e.g. Word and Excel, internet explorer, windows explorer, Outlook
High and low volume scanners
Good administrative skills including photocopying, faxing, filing and problem-solving
Ability to deal with sensitive and confidential items of mail in accordance with the HCC code of conduct
Ability to work on own initiative and be proactive in problem solving, especially in locating staff members and deciphering mail
Ability to deal with customers in a polite and diplomatic manner
Full driving license is essential
