This is an opportunity to join a short-stay and property management company. They manage short-stay properties in Central London, and have a website where guests can book stays directly with them. They have a portfolio of 20+ properties that are 4 Star Gold rated by the AA.

The company is owned and managed by two directors with high standards and expectations in customer service. They have built a reputation on the positive reviews they receive from their guests and clients. Their top priority is to ensure that they offer affordable-luxury stays for guests and provide seamless, professional property management their property owner clients. They aim to increase the portfolio, grow the website, and introduce a range of new services for their guests and owner clients in 2019.

The role
They are seeking to employ a well-organised, proactive, efficient and experienced Administrator. The role will provide support to customers, clients, team and the directors.

The candidate must have high service and quality standards and be able to coordinate sometimes complex administrative tasks and logistics to support their guest and client needs. They must have an excellent telephone manner and written communication skills for daily guest and client contact.

The Administrator will work with the directors to support the daily running of the properties and take lead responsibility for contact with guests and service teams.

Responsibilities of the role:
- Daily communication with guests, online and by telephone - responding to enquiries that guests have before or during their stay
- Process card payments and invoices for guests
- Produce financial reports and processing receipts
- Work with housekeeping team to manage arrivals/departures
- Work with housekeeping and laundry to make sure all supplies and services delivered correctly
- Coordinate maintenance and ordering housekeeping supplies
- Answer telephone and responding to guest and client enquiries
- Manage property files to ensure documentation is recorded and stored correctly (e.g. insurance or gas safety certificates)
- Review and respond to feedback in online guest reviews using multiple websites (e.g.
- Produce weekly reports and updates for the Directors

Requirements for the role:
- Minimum 2 years experience in administration and customer service
- Excellent verbal and written communication skills in English - other languages helpful but not essential
- Exemplary organisation skills and attention to detail
- Confident and experienced using online services (e.g. Google Docs)
- Must be dog friendly as the director's small dogs are always in the office!


Successful applicant will be required to proof of eligibility to work in UK and undergo Disclosure and Barring Service check.

They will require personal and employment references for the successful candidate.


Salary: Negotiable
Hours: 10am-2pm Mon - Fri

Job Type: Part-time, temporary, 6 months initially
