Our client is currently recruiting for an experienced Legal Secretary to join their Private Client Department. You need to be self-starting and proactive to assist in the continued development of their offices.

Contract - Permanent
Salary - Competitive
Responsible to - The Partners of the firm and a specific office resident Private Client Fee Earner.

Suitable for law graduates.

Purpose of Work: To provide legal services to Clients within the disciplines of Probate and Wills, Trusts, Tax and Financial Services, primarily dealing with Wills and administration of Probate files.

Main Duties: To prepare Wills for all offices from first interview to conclusion.

To maintain a good working relationship with their immediate supervisor, other members of the Private Client Department and all staff generally.

To provide a friendly and efficient service at all times to all clients, making due allowance for stress suffered by bereavement.

To keep the client fully and regularly informed at all times throughout the transaction.

To liaise with Funeral Directors, Residential and Nursing Homes, Estate Agents, Brokers, Auctioneers and Valuers and other interested parties.

To attend clients at home or Residential Home, hospital as required.

To field calls and deal with all of the administrative aspects of transactions under direction or on own initiative including typing and inputting using all software programs. Storage and retrieval of Wills, Deeds and APTs for all offices and updating records and databases as appropriate, photocopying, filing, sending faxes and e-mails and opening new files etc. To sort and prioritise mail, e-mails and messages.

Witnessing Wills, Codicils and other Deeds and documents

The preparation of straightforward legal documents as required

Administering straightforward Probates through to completion.

Maintaining of Databases such as APT (Administration Probate and Trusts)Register in Excel for the use of all Probate staff in each office.

Filtering and collating information for APT envelopes and storing same for all offices.

Maintaining Estate Accounts in Excel and/or inputting into Solcase/Connect.

Closing Will files and archiving files as required.

Preparing other documentation when necessary from Printaform such as Inheritance Tax documentation and IHT Forms and imputing into Solcase/Connect as necessary

Working over and above normal office hours at short notice if the client’s cannot make office hours and where required when attending a house clearance.

Liaising with Auction Houses for the removal and valuation of items.

To assist in accounting to the client and other parties to the transaction at the appropriate times.

Preparing Will Questionnaires sending out same through requests from Conveyancing via email and leaflets.

To carry out other tasks that may be reasonably required but may not be specifically listed above

To promote your discipline and the Office regularly as appropriate with, inter alia, Clients, Residential and Nursing Care Homes, Undertakers, Accountants, Stock Brokers and Insurance Brokers, Estate Agents, Newspapers and other relevant personnel you come into contact with in the course of your discipline.

To be committed to the LEXCEL & Investors in People standards, the requirements of the Law Society and to understand them. To be familiar with the Office Manual.

To be familiar with the basic requirements of The Solicitors' Accounts Rules (as amended from time to time) as they affect the receipt and payment into the Bank of Cheques.
