One of our partner schools in North London is currently recruiting for a School Administrative manager, to take up a Permanent role with an immediate start for the ideal candidate. The position of Administrative manager is a full-time contract position through Step Teachers.

The ideal candidate must:

Organisation:

Take a lead role in the organisation and monitoring of administrative systems, procedures and policies.

Ensure provision of a welcoming and efficient reception service, including the operation of the telephone system.

To lead and manage the school’s administrative services including ICT.

Establish and maintain effective relationships with all colleagues and communicate effectively in order to ensure the efficient and effective administration of the school.

General school office duties - dealing with enquiries from parents and visitors to the school in person and by telephone, producing letters to parents, photocopying, filing etc.

Assisting the teachers and SLT in all aspects of their role, including contacting parents and pupils where necessary.

Office Manager:

Co-ordinate and supervise the work of office staff and to ensure the school office is organised efficiently.

Assisting in the induction of any new members of staff.

Raise any concerns or queries directly to clarify accuracy and requirements.

Be flexible and proactive when suggesting changes and actively promote new ways of working across the office becoming an advocate for best practice and on-going professionalism.

Data Management:

To be responsible for the collection of data and administration of all pupil records including new starters and leavers in the school and accurate maintenance of SIMs, ParentPay, Target Tracker, Evolve etc.

Be responsible for producing and submitting information and reports externally as needed i.e. termly Census.

Use and maintain relevant IT systems (e.g. SIMS, target tracker) producing reports and information as required for staff (e.g. excel, word etc).

Ensure that the IT system housekeeping is always kept up to date and is accurate including the school website

Maintaining a confidential paper filing system for all children’s records in school office.

Communication:

To ensure efficient and effective communication systems between the school office and SLT, staff, parents & carers

To provide a responsive telephone service: promptly dealing with queries & enquiries or referring callers to appropriate staff; taking messages in a precise, accurate and courteous manner.

Provide a responsive and secure service for personal callers, ensuring controlled entrance and exit and a polite and welcoming approach to visitors.

Ensure all new staff, visitors and volunteers provide suitable documentation for suitable checks to be made

Deal appropriately with incoming /outgoing correspondence; date record, deliver and track mail. Ensure that mail is duly dispatched; urgent matters are promptly referred and dealt with; action and reply to routine correspondence /messages.

Responsible for the school’s general email address, responding to correspondence or forwarding to relevant staff as appropriate.

Take a lead role in the marketing and promotion of the school, including preparing and producing relevant school information and publications to parents, staff, governors and other agencies as required

Finance:

To be aware of the schools financial procedures and regulations (including financial controls, best value, and authorisation limits) and to ensure compliance at all times.

Oversee and monitor the Free School Meals administration including pupil numbers, free school meals authorisation and updating SIMs as required.

Monitor and support in the administration for the Extended School Club and Nursery financial administration.

Review and arrange contracts for utilities and services, e.g. energy, telecommunications, cleaning, payroll, etc.

Maintain the school’s register of contracts.
