Our client is a long established UK based software vendor specialising in IT Service Management, Service Desk and Customer Service software. They have successfully developed and brought to market several distinct software platforms over the years, which have been purchased by well over 1,000 organisations in both public and private sectors

Job Specification

The Project administrator will keep track of all aspects of an ongoing series of projects.

Maintaining the project calendar and recommending changes to it as necessary.

Keeping records of how each aspect of the project is progressing relative to pre-determined deadlines. Maintaining records of consultancy days undertaken to ensure that they do not exceed the budgeted amounts.

Working closely with the Head of Service Delivery to resolve any issues that may affect the schedule.

This role requires a well organised and dynamic person with a clear and friendly telephone manner, excellent documentation skills and an eye for detail. Experience in office administration is essential and a background in project management, IT Service Management and software delivery would be distinctly advantageous.

Job Responsibilities

Project Coordination and Administration

* Diary management to ensure prompt booking of project consultancy days

* Day to day project coordination and administration activities within Project Office function

* Coordinate and organise customer projects – liaising with key stakeholders (both internal and external)

* Creating project delivery schedules - project plans, timelines, documentation Scheduling project meetings and recording meeting notes and actions

* Ensuring all project documentation and information is added to the project records

* Management of tools and processes required to ensure that agreed targets are met and appropriate standards are achieved in line with the terms of reference for the team

Resource Management

* Resource management of Technical Consultants, Professional Services Consultants, Quality Assurance Coordinator and Data Services Manager

* Work closely with all departments and keep track of service delivery staff locations

Key skills required

* Strong customer relationship building skills

* Excellent written and verbal communication skills with a keen eye for detail and excellent grammar

* The ability to work in a high-pressure environment while maintaining a cool and professional outlook at all times

* The ability to plan ahead and solve problems

* A good work ethic and a desire to succeed and provide excellent service to customers

* A good knowledge of IT software project delivery advantageous

Performance Indicators

* Provide the highest levels of service to external customers and the internal support team at all times

* Be an exceptional communicator

* Ensure all customer records, project records, system documentation is accurate and up to date
