As the Service Administrator you will be responsible for ensuring the smooth day-to-day running of the diaries for service engineers and other specialised engineers. You will liaise with the clients to ensure timely and accurate recording of their requirements and will be responsible for formulating job lists to ensure the best use of time and resources. If any travel or accommodation is required, you will be tasked with ensuring that this is booked or arranged in the most time and cost-effective way and will also be responsible for arranging meeting room appointments.
You will be working as part of a wider administrative team and will be, in addition to arranging appointments and ad hoc duties, responsible for ensuring effective record keeping and associated filing and reproduction. You will additionally be responsible for preparing quote documentation and making sure that PO numbers are used when required. You will be tasked with raising purchase orders when required and directed to do so.
If required and reasonable to do so you may be required to complete other duties or tasks during the course of your employment if these fall within your skill-set.
Due to the intricate nature of my client's business you will be required to have studied to GCSE level and will be required to have a minimum of 5 Grade C passes which must include Maths and English.
As you will be dealing with clients and key contacts, you will have excellent communication skills; verbal and written. You will have had experience of working with Microsoft's Office suite in the past and will have either studied Business Administration at NVQ level 2 or 3, or be willing to undertake a course. You will ideally have experience of working in a customer service role, or other role where communication with colleagues and external stakeholders formed a large part of your role.
As is to be expected, organisation and time-keeping are essential qualities and you will be able to 'juggle' multiple duties at once, at all times ensuring that deadlines are met.
