Role: Facilities Service Manager

Location: London/ Canary Wharf

Hours: 35 hours per week

Days: Monday to Friday

Contract: Temporary 3 month + possibly on going

Pay: Hourly rate £19 / £35,000 salary

Office Angela National Accounts team are recruiting for an experienced Facilities Services Manager to support a large postal client with a client site based in Canary Wharf.

This role will require experience within the following:

Job Title:- Facilities Services Manager

Summary of role:

Provide assistance to the WPS leadership team in London for the smooth and efficient running of their London EMEA Headquarters and Business Resiliency Centre (UKRC) at Harlow. The position will support both in-house and outsourced activities to add service value and commercial focus to the FM function. To focus on commercial awareness and align the FM function with organizational goals and risks. Build successful relationships with key stakeholders, key vendors and our WPS global team and partners. Create enhanced employee experience to support the clients new, agile workplace strategy.

Principal Responsibilities:

Facilities Management Services
Responsible for the delivery of a cost efficient and high quality service for the London operation including but not limited to:

HELPDESK:- Oversight of WPS Helpdesk, - both reactive & PPM to ensure KPI's and exceptional service is delivered at all times. Monitor & escalate issues as appropriate. Responsible for production of monthly, quarterly, annual and ad-hoc reporting

CONTRACT MANAGEMENT SUPPORT;- Assist in the management of outsource activities and vendor relationships. Provide contract management support for key vendors

Participate in putting together monthly contract reviews to ensure MI (Management information) can be provided. Attend monthly review meetings with Building manager. Log onto central repository.

FINANCIAL MANAGEMENT & BUDGETING;- Utilise the client Finance and Procurement systems to ensure full compliance and auditability. Process Purchase Orders in line with contractual agreements and in line with approval process. Manage match exception to resolution

Assist in compiling annual operational and capital budgets. Review monthly and annually expenditure reports with managers to monitor actual spend against forecast

Drive alignment to consistent processes and procedures, maintain documentation to support effective and consistent workplace experience processes and procedures, including but not limited to playbooks, how to guides and training materials to support an agile work place.

GENERAL ADMIN:- Provide new user training to team members as required on new systems and processes, ensure all portals hold current and accurate data

Attend and actively participate in all WPS meetings

Provide support to WPS projects to include minute taking and vendor liaison

Provide user support to all WPS systems including but not limited to EMS/EWM and Iron Mountain

Conduct weekly floor walks

Assist with agile working assigned locker process

SUSTAINABILITY & ENERGY MANAGEMENT;- Support ongoing initiatives

HEALTH & SAFETY IN THE WORKPLACE;- Provide ongoing support to the H&S Officer.

BUSINESS CONTINUITY:- Support disaster & business continuity planning

Support Return to office initiatives and tasks

* Ability to manage multiple projects
* Excellent communication skills
* Understand the framework of contracts
* Demonstrate successful management of contracts and measurement of service excellence
* Bolster productivity within budget constraints
* Understanding of financial principals
* Ability to network at all level of the organization
* Explore options to satisfy business needs within the capabilities of existing systems.

Great attention to detail
Skills & Experience:
* The ideal candidate should have experience in the management of FM contracts
* Ability to explore the scope and extent and diversity of the FM function
* Have experience in people management and demonstrate strong leadership skills
* Demonstrate successful contract management
* Proven ability to build and have maintained strong vendor relationships
* Experience in financial management and budgeting
* PC skills, in particular Outlook, Word, Excel, Sharepoint, Teams/Office 365 functions and Powerpoint
