About this career opportunity...
Working in partnership with four Directors responsible for the Arup University to deliver high impact administration to support the transformation and strategy of the team, key responsibilities include:

You will make an impact in this role by:
  • Establishing administrative procedures, processes, and disciplines in support of the leadership teams objectives.
  • Providing clear, objective communication to the leadership team and their stakeholders, to deliver agreed outcomes
  • Organising and attending high profile global meetings, as a priority, with internal and external attendees, from multiple time zones, and with competing diary demands.
  • Organising other meetings for leaders where appropriate, noting the focus needed on substantial global meetings in the most part
  • Ability to minute, interpret and define actions from complex discussions
  • Taking charge of all meeting related papers; drafting, researching, chasing, producing, and collating based on Leader's needs
  • Taking ownership of organising events, including establishing requirements, managing budget, booking appropriate venues and activities, seeking authorisation when required
  • Taking ownership and making travel arrangements when requested, for the Leadership team, ensuring alignment with priorities, suggesting solutions to maximise effective use time
  • Proactively coordinating and collaborating with other support staff to ensure that key roles/activities are covered, particularly focusing on Group Board meetings and projects, and the support staff responsible for that work

Is this role right for you?
If so, you'll likely have:

  • Have experience of complex administration role, working with executive level stakeholders
  • Have exceptional communication skills, both written and verbal
  • Be able to judge a context, make connections and build lasting relationships
  • Be an excellent communicator and influencer with the ability to form networks at all levels and influence effectively
  • Be confident when working under pressure
  • Be a creative problem solver; proactively seeking and acting upon feedback
  • The ability to be discreet and maintain confidentiality
  • A flexible approach to work, with an ability to adapt to suit the leadership team requirements
  • An ability to manage own workload and manage upwards
  • A demonstrable ability to look strategically ahead (3 to 6 months)
  • Good knowledge of MS Office, particularly Word, Excel and PowerPoint.
