Summary Of RoleEvents Management (virtual, in-person and hybrid events):
  • End-to-end management for a variety of pharma-sponsored in-person, digital and hybrid events (e.g. congress symposia, large stand-alone events, launch meetings, etc)
  • Ensure events are delivered on time and within budget and brief
  • Project manage each event, including travel arrangements, catering, accommodation, venue liaison, AV, stage build, ground handlers, suppliers, and social events
  • Faculty and delegate management, including organisation of briefing calls, rehearsals, pre-recordings, tech rehearsals, Zoom backgrounds, etc.
  • Communicate with clients and internal team and provide regular status reports about ongoing projects
  • Create the systems and processes to organise and run complex events effectively, working with internal and external stakeholders to achieve the best outcomes and ensure a positive client and agency experience
  • Attend and manage logistics for virtual and on-site events as required with the ability to travel both in the UK and internationally
  • Assist with building and managing virtual platforms and their content, working with platform provider and internal teams
  • Create running order(s) for event and establish clear roles and responsibilities for the internal team, Zoom technician/on-site AV team, speakers, moderators, etc
  • Support and manage live Zoom meetings, communicating with faculty via chat, managing Q&A, sending timing reminders, running breakouts if needed, loading and launching polls if needed
  • Provide post-event reports on the in-house event app/platform and survey feedback/results to the client
Financial Management:
  • Develop and manage elements of the budget and assist in budget and timelines development/updating based on event specifications
  • Liaise with third party vendors, negotiate and contract to obtain the best possible rates and terms
  • Create Purchase Orders for all costs related to logistics
  • Chase third party suppliers for outstanding invoices
Grow Existing Business:
  • Create and develop opportunities for growing existing business and prepare proposals for future events
Requirements
  • >4 years' experience as an Events Manager within a healthcare, medcomms, or meded agency managing pharma-sponsored events (congress, standalone events, small advisory board meetings, etc.)
  • Robust expertise in digital events as well as in-person and hybrid events
  • Effective organisational and prioritisation skills with an emphasis on attention to detail
  • Well-developed sense of diplomacy, including solid negotiation, conflict resolution, and people management skills
  • A track record of success in managing a variety of complex pharma industry events (virtual, hybrid, and live)
  • Understanding of industry guidelines, regulations, and requirements
  • Knowledgeable about the content development process and its impact on timings
  • Thrive in a fast paced, constantly evolving and extremely varied environment
  • Experience in faculty (HCP) management
  • A can-do positive attitude, dedicated not only the success of events, but also to creating a positive experience in bringing them about
