Office Angels are currently recruiting for a Temporary Part time Administration, Finance and Facilities Officer to join our client in Edinburgh City Centre. The role is working 3 days a week for around 2 months. Paying £11.27 an hour.

The main purpose of the role is to support the CEO, Management Accountant and Counselling Coordinator in attending to the administrative needs of the organisation. The successful candidate must possess experience in salesforce, xero and excel. Along with strong data entry and book keeping skills.

Duties and Tasks:
  • To provide administrative support to promote effective delivery of services and organisational management, through invoicing and petty cash, and administration of records and reports.
  • To ensure that the first contact with the organisation by existing or potential clients and by external partners and other members of the general public, whether by telephone or face to face, is friendly and welcoming and effective.
  • To monitor and maintain a safe working environment under the direction of the CEO
  • Ensuring an effective reception and telephone answering service during office hours
  • Ensuring that invoicing and petty cash are administered efficiently, in conjunction with the Management Accountant
  • Ensuring that office and shop facilities provide a safe and healthy working environment for staff and volunteers
  • To provide supervision and support to volunteers providing reception or administration support
  • Advising the CEO, Management Accountant and Coordinators on improvements to any areas relevant to administration, facilities or financial management

Experience and skills:
  • Experience using salesforce, xero and excel
  • Experience in administration of an office
  • Experience of entering data and drawing down reports from data bases
  • Experience in facilities monitoring and maintenance
  • Experience in invoice processing and petty cash
  • Effective organiser and ability to work to tight deadlines
  • Experience of working with volunteers
  • Excellent spoken and written
  • Understanding of budgets and funding challenges in the charitable sector is desirable
  • Experience of support and supervising staff or volunteers is desirable
