Working with the Headteachers and the Trust central team, the Regional Operations Manager will play a key role in leading the school support staff in the Croydon schools to deliver efficient and effective HR, administration and estates services. They will ensure that support services resources are deployed effectively so that each school delivers excellent education and achieves its key strategic priorities.

Key Responsibilities:
  1. Leadership and Development

(a) Assist the Headteachers in shaping a vision and direction for the schools, setting very high expectations for all operational support staff in the schools.

(b) Play a role in setting aims and objectives for the school and in formulating the School Development Plan along with the Headteacher and other senior staff.

(c) Take responsibility for developing excellent practice to deliver the objectives set out in the School Development Plan, in agreement with the Headteacher.

(d) Assist the Headteacher in school self-review and evaluation and the effective planning and management of resources to secure improvement.

(e) Participate in and, where required, lead trust-wide initiatives focussed on developing and sharing excellent practise across all Trust schools.
  1. Leading Human Resources

(a) Support the development and implementation of HR initiatives and systems

(b) Provide advice and support on policies, procedures, equalities and conditions of service

(c) Lead recruitment by preparing job descriptions, adverts and leading the administration team to organise recruitment processes

(d) Develop induction and onboarding plans and manage probation process so that all new staff have an excellent experience when joining the schools

(e) Lead performance management processes for staff under your direction and provide guidance and administrative support for other leaders to conduct performance management for their teams

(f) Advise and support on disciplinary, grievance and absence issues and liaise with the Trust HR Leader / COO on potentially difficult cases. Access external HR support services where applicable

(g) Maintain employee records according to Trust policy and legal requirements

(h) Review employment and working conditions to ensure legal compliance

(i) Provide staffing data as required

(j) Ensure all school-based staff have access to and are aware of HR policies and procedures
  1. School Administration Services

(a)lead the school administration teams, working to the highest standards and actively demonstrating excellence as the public face of the school

(b)responsible for ensuring effective risk management and mitigation procedures across all school activities and operations

(c)provide cover/support to team members where necessary to ensure continuity and consistency

(d)be aware of and comply with policies and procedures relating to Child Protection, security, confidentiality and data protection, reporting all concerns to an appropriate person

(e)ensure all staff adhere to school health & safety policies including risk assessments and safety systems and ensure the schools provide pupil first aid and welfare, including looking after sick pupils, liaising with families, staff etc

(f) coordinate parental contact (through mailings and electronic contact)

(g)take a lead in ensuring consistent communications and school presentation for parents evenings, schools visits and other public events and in line with the Schools and Trust identity, reputation and brand.

(h)support the production and/or distribution of school publications & documentation

(i) to quality assure all communications going out from the schools, developing and maintaining a high standard of 'housestyle' formatting and presentation

(j) ensure that systems are developed for the routine admission of all pupils to the school and manage the process of appeals

(k)lead the management of MIS and data systems and the production of reports as required
  1. Leading Facilities Management and Health & Safety

(a) Accountable for the maintenance, cleaning, heating, security, health & safety of the school

(b) Line management of the school premises teams

(c) Develop excellent working practises in the provision of estates management services to the schools and ensure appropriate cover at all times.

(d) Oversee the work schedules of the premises teams and monitoring the standards of the work

(e) Oversee the planned and ad hoc maintenance and upkeep of the premises.

(f) Commissioning estimates from contractors as required following consultation with the Head in accordance with financial regulations.

(g) Manage and monitor outside contractors providing catering and cleaning services

(h) Liaising with relevant staff on all aspects of school lettings and plan premises cover as necessary.

(i) Ensuring that the cleaning of the premises is in accordance with the agreed specification, either monitoring the performance of outside contractors or allocating and managing in-house staff

(j) Ensure the premises teams manage the safe and efficient operation of all premises-related mechanical, electrical, heating services and other plant.
