As the Facilities Administrator your role is to ensure the delivery of a legally compliant, safe, customer focused environment providing agreed levels of service across the companies portfolio of properties.

Client Details

My client is a large Real Estate and Property company based in London.


As the Facilities Administrator your duties include:

Providing administrative support to the Facilities Management team
Dealing with outstanding debt for various contractors and sending monthly report to FM team
Analysing procurement data and producing reports for the Procurement Manager
Creating all supplier contracts
Organising and sending supplier invoices for payment
Managing the centralised CAFM admin inbox and processing all new requests
Producing wage, invoice and expense reconciliations
Managing and updating the Facilities admin folder
Assisting with FM projects and maintaining accurate planners/trackers
Creating quarterly and year end reports with detailed analysis on Front of House operations
Providing cover for other members of the team when on leave
Provide general office support including photocopying, filing, typing letters, scanning, binding, archiving, opening and disseminating post, dealing with queries when necessary
Maintenance of any electronic filing systems/other filing systems e.g. client database/marketing materials
Record annual leave and sickness for team
Answer telephone and email queries promptly for absent team members
Recording and track team expenses
Setting up regular meetings/global conference calls with a variety of Investor and Occupier clientsProfile

The successful candidate for this Facilities Administrator position will:

High level of written English and numeracy
Highly proficient in Microsoft suite including MS Word, Excel, PowerPoint and Outlook
Excellent administrative skills
Be comfortable communicating with all levels including senior stakeholders.Job Offer
