Title: Finance and Administration ManagerTerm: PermanentHours: 0.6 FTESalary: £27,000 to £30,000 pro rataLocation: HomebasedReporting to CEOAir Ambulances UK (AAUK) champions, supports, and represents the vital work of air ambulance charities, enabling them to save even more lives and improve patient outcomes across the UK.We operate a remote workforce, and the role can be based entirely from home anywhere in the UK. It is anticipated that you may need to occasionally meet colleagues face to face at different locations including attendance at Board and committee meetings.We are seeking a versatile Finance and Administration Manager with excellent communication skills to manage a range of financial and administration responsibilities. This is a great opportunity to play a vital role in AAUK financial management and contribute to an organisation that works towards supporting the best possible chance of survival and patient outcome for everyone in need of prehospital care.Our Finance and Administration Manager plays a critical part in ensuring that AAUK function smoothly and efficiently, while also supporting accurate and timely financial forecasting and reporting. This role is varied, touching on all aspects of AAUK's financial management, and acts as a key contact for a range of stakeholders.The profile of a successful candidate is a qualified or part-qualified accountant or someone with suitable experience, with a strong background in financial processing. You will also have a good understanding of the practical interactions between an organisation's operations, its key risks, and its financial data. In addition, you will also:have the ability and willingness to take responsibility for a wide variety of tasks, ranging from routine administrative tasks and monthly reporting, to addressing technical accounting problemsbe able to adapt to shifting priorities and responsibilities as the situation demandshave strong analytical and interpretive abilities, as well as excellent problem-solving skills, to ensure that AAUK finances are managed in accordance with best practicebe able to work to a high degree of detail while maintaining sight of the wider contextThe ideal candidate will have charity experience, and will also have some experience with company accounting and understand statutory regulations and Charity SORP around company accounting and VAT. Experience in managing finance for a trading subsidiary will be an advantage, as will be knowledge of charity accounting and/or technical understanding of audit principles and experience in a grant-giving membership organisation.The role involves:Reporting directly to the CEOManage the accounting software ensuring all transactions are correctly recorded, the system is up to date and ensure all staff are trained in using the softwareManage all aspects of bookkeeping including accounts receivable, accounts payable, bank reconciliations, asset management, paying supplier and sales invoicingDevelop annual organisational budgets and financial plans/ forecasts, quarterly financial reports for the board and monthly management accounts for the management teamManage organisational and project budgets and cashflowManage VAT including correct recording and reportingEnsure compliance with internal and external policies and procedures as well as partner contracts and regulations, developing new/ updated processes where requiredWork with the team to ensure accurate delivery of financial information and the monitoring and audit of project budgets, including the development of lessons learnt for business development purposesManage Payroll, Expenses, HR, and PensionEnsure that all HR procedures, policies, processes, and best practice are adhered toManage organisation insurances, registrations and compliance requirementsSupport the CEO with the company secretary responsibilities to ensure full complianceSupport the CEO with IT and administration processesCandidate requirements:Charity Finance management experienceACCA/ ACA/ CIMA qualified-part-qualified and qualified by experience will be consideredExperience of Payroll and PensionsExperience of VAT and taxesProject budget management and optimisation experienceExperience taking responsibility for financial management, HR, and administrationAbility to prioritise, multitask and tackle multiple overlapping deadlinesAttention to detail and ability to work quickly and accurately under pressureExcellent organisation and time management skills, ability to keep filing systems up to date and respond efficiently and effectively to requestsExtensive experience of managing upwards and downwards, supporting and motivating colleaguesThorough knowledge of Microsoft OfficeSelf-motivated initiative-taker, able to work competently unsupervisedAlignment with AAUK purpose and valuesExperience of HR management and policy evaluation and writing (desirable)Good knowledge of financial elements of grants administration (desirable)Experience in a charity membership organisation (desirable)Experience of charity finance management for a trading subsidiary (desirable)Experience in the use of Xero and Sage (desirable)Closing date: 20 September 9amInterview date: 28/29 SeptemberTO APPLY:If you would like to apply for this position, please read the Job Description attached before clicking the apply button and attaching your CV and covering letter succinctly demonstrating how you meet the candidate requirements.
