Team: Legal Project Management

Reports to: Chief Knowledge Officer

Purpose of job

Supporting BCLP's partners and lawyers in the rigorous management of matters using the concepts of project management to manage legal matters and costs. Working within BCLP's Legal Project Management Team (part of Knowledge Management), this role includes the management of matter scope, schedules, delivery risks, parties and stakeholders to ensure that client needs are met, alongside maximising the commercial performance of matters for the firm, as well as assisting with pitches. The role also involves line managing and developing other legal project managers in the team, and ensuring close coordination with those performing similar roles elsewhere in the business. The Senior LPM role will also be closely involved in developing a wider LPM strategy for the firm.

You will also work closely with teams of lawyers around the world to help them deliver cost effective legal services to a variety of clients from a wide range of industries. This is a high profile and demanding role, which is often client-facing and fast-moving.

Key responsibilities

• Input into RFPs for relevant matter/panel pitches on LPM methodology to be used;

• Participate in pitch presentations to clients on the role of LPM on matters and approach to running matters efficiently;

• Work with partners and pricing teams to scope work and tasks on matters as part of preparing budgets/estimates (in some firms, LPMs also handle price negotiations with client);

• Lead project management on multiple legal matters in conjunction with legal teams and clients;

• Portfolio management for clients with multiple matters;

• Work with legal teams on improvement projects to better the way we deliver our legal services to clients;

• Ensure good financial management of legal matters including reviewing work in progress, managing disbursements / external costs, regular (e.g. monthly) reporting to clients and associated billing, scope management;

• Manage key matter stakeholders, e.g. clients, external expert witnesses, local and other counsel and other parties to the matters and help coordinate their input as needed;

• Where requested, set up, manage and coordinate use of client collaboration platforms for each matter or portfolio of matters/assets;

• Work collaboratively with colleagues in Innovation, KM and IS to ensure other firm solutions that support efficient working are being leveraged as needed on matters;

• Source and manage alternative delivery options for matter resources, e.g. contract lawyers and/or BCLP's Service Delivery Centres;

• Prepare plans and schedules for matters which range in duration from weeks to many years;

• Forecast legal spend in upcoming periods and up to the whole life of matters;

• Utilise the firm's matter pricing, profitability and reporting dashboards and alerts to ensure matters are supported with effective financial management data

In addition to working on matters,

• Trains and supports BCLP staff to ensure deep understanding of the principles of project management and how they apply to the management of legal matters, and/or works with L&D to develop/review third party training materials.

• Creates and maintains Firm wide Legal Project Management templates and guidance materials for "self-service" use by lawyers;

• Helps assess and implement new firm technology solutions that support legal project management

• Line manage and ensure the professional growth and development of other LPMs in the team

• Assist the firm's senior management on developing a comprehensive, global LPM strategy for the firm

Required Experience and knowledge

• Experience in line managing others and assisting with their career development

• At least 5 years' experience leading projects in the legal, consulting or other professional service sectors

• Experience in dealing with senior business stakeholders

• Experience of participating in and presenting at client pitches

• Experience of "selling" LPM internally to a legal audience

• Experience in budgeting and planning, ideally in the context of the delivery of professional services

Desired Experience and Knowledge

• Experienced in managing Corporate, Finance & Litigation matters preferred

• Prince2 (or an equivalent) qualified

Skills and competencies

• Legal project or matter management experience with a strong understanding of all stages in a matter lifecycle

• Willingness to learn line management skills and invest time in the development of others

• Team player with a high level of initiative and drive

• Advanced organisational skills

• Attention to detail and exemplary literacy and numeracy skills

• Excellent communication, professionalism and interpersonal skills are essential, as the role often involves contact with clients and senior business leaders

• Change management experience

• A project management qualification

• Experience with practice management systems within professional services organisations is desirable

• Computer literate with experience in Microsoft Office especially Word, Excel and PowerPoint
