Job Purpose:

Taylor&Emmet LLP is currently recruiting a full time Completion Assistant / Completion Administrator to join our busy and expanding Completion team. The ideal candidate will be a team player with excellent customer service skills who also enjoys working with numbers daily.

Proactively work with the team to manage the day-to-day operational duties and proactively progress the Conveyancing case load to completion, communicating with clients effectively on their property transactions. Provide a client centric service when conducting property transactions in accordance with the relevant statutory and regulatory framework and in accordance with best Conveyancing practice.

  • Deal with general routine Conveyancing enquires via email, fax, and telephone and in face-to-face meetings.
  • Make internal and external telephone calls and take necessary action
  • Manage and organise large volumes of documents
  • Liaise with third parties, including buyers Solicitors, Estate Agents, Mortgage Lenders, IFA's, Landlords and Management Companies.
  • Working as a team, helping and supporting others in the team and the department.

Purchase:
  • Exchange and Complete transactions
  • Prepare a draft bill and statement
  • Request deposit from client
  • Undertake final searches
  • OS1 / OS2 Search
  • Bankruptcy Search
  • Submitting COT (Certificate of title)
  • Land Charges and Land Registry
  • Request money for completion from client and mortgage lender
  • Deal with completion, chits, sending deed out to other side, letters to client and update agents. including submit SDLT
  • Update chancel spreadsheet.
  • Release / check undertakings.
  • (Help to buy only)- send copy of mortgage deed on completion
  • Notices
  • Deeds of covenant
  • Check residual balance and action appropriately
  • Prepare file for registration

Sale:
  • Exchange and Complete transactions
  • Request redemption statements
  • Request final redemption figure once completion date agreed
  • Prepare draft bill and statement
  • Deal with completion, chits, sending deed out to other side, letters to client and update agents. Paying the mortgage, estate agents etc.
  • Release / check undertakings.
  • Deeds of covenant
  • Check residual balance and action appropriately
  • Prepare file for registration
  • DS1 - send to buyers solicitor or confirmation mortgage discharged


Desirable skills and competence:
  • High standard of IT skills including Outlook, Word, report writing tools and other relevant legal software including extensive knowledge of updating and navigating case management systems
  • Excellent time management, organisational and client service skills.
  • Ability to work in a team-oriented and collaborative environment. A flexible and adaptable team player who supports, promotes, develops, and motivates others.
  • Highly motivated, proactive, and outcome-orientated with a can-do attitude.
  • Finance background or someone who enjoys numbers.
  • Customer service background.
  • Excellent communication and interpersonal skills.
  • Experience of handling customer/client enquires on either the telephone or face to face.
  • Strong influencing, negotiating and objection handling skills.
  • Excellent levels of customer service.
  • Ability to present relevant information to management in a concise manner.
  • Proficiency in handling multiple enquiries and managing own time to ensure all enquiries fully pursued.
  • A background within service handling for example Legal services, financial services, claims management or other professional backgrounds an advantage.
