Job Details

Do you have a strong background in book-keeping services? Would you like to use your skills in within a creative organisation? We are looking for someone to run the sales and purchase ledgers, manage the purchase ordering system and carry out other finance tasks arising from our mixed income model. The accounts are produced using Sage software in conjunction with the box office and retail software solutions which are managed by the relevant teams. The successful candidate will be integral to the small accounts team and a vital first point of contact for colleagues across the organisation.

The main duties and responsibilities are provided below:

Sales Ledger
  • Managing the data entry of all income streams across various departments for both the charity and the trading company
  • Processing all BACS, cash, cheques and credit card receipts including voluntary income
  • Performing regular reconciliations of customer accounts and box office receipts
  • Banking cash and cheque deposits
  • Credit control for charity and trading company

Purchase Ledger
  • Managing and processing the purchase ordering and purchase ledger systems, including staff expenses and store cards
  • Performing regular reconciliations of supplier accounts
  • Processing debit card purchases with Amazon and other online suppliers and obtaining appropriate VAT invoices from suppliers
  • Entering transactions for payroll and other non-purchase ledger payments
  • Maintaining the purchase order system, ensuring coding consistency and obtaining invoices from suppliers as necessary
  • Obtaining and processing relevant paperwork for artist splits

Reconciliation & Reporting
  • Reconciling project budgets and departmental budgets to actuals
  • Assisting with preparing quarterly VAT returns
  • Assisting with grant claims
  • Maintaining manual and Sage records
  • Interrogating Sage or manual reports to check figures or prepare analysis and reports as required
  • Undertaking any other duties consistent with the range of the post as may reasonably be requested including filing and archiving
