This company is the UK's leading SolarWinds Professional Services provider, specialising in Network & Systems Management Solutions.

They are looking for an experienced Business Admin Manager to undertake a number of duties in a range of disciplines that includes but is not limited to Office and facilities Management and Project Management. The ideal candidate will work to ensure all aspects of the business run smoothly and are well organised, with a particular focus on managing the professional services diary and bookings.

You will need to be proactive in your work habits, commercially driven with an entrepreneurial approach to business. An are excellent communicator quick to build relationships at all levels, highly organised and understand the need for accuracy in all aspects of the role.

Duties and Responsibilities

Technical & Professional Services Admin

- Monitor the sales inbox for professional service related orders
- Create and maintain projects in the CRM
- Liaise with the professional services management to assign engineers to projects
- Liaise with the Account Manager and professional services management for booking timescales
- Liaise with customers to confirm professional services bookings and ensure the CRM and the professional services calendar are accurate
- Maintain a record of days for each month and each engineer based on agreed targets
- Maintain and oversee the professional service calendar
- Oversee or make travel and hotel bookings for engineers providing onsite work
- Oversee or arrange and book healthchecks/demos and go to meetings as appropriate
- Liaise with engineers to ensure all pre work documentation is complete (pre visit call, & SOW)
- Liaise with engineers to ensure all post work documentation is complete and filed correctly on the CRM and on the server
- Oversee in house classroom course and ensure classroom is clean, set up on the Friday before the course starts
- Ensure that refreshments and subsistence has been set up and ordered as required


- Oversee the invoicing of all professional service work and ensure expenses are invoiced and accurate data is recorded in the projects on the CRM and on all finance records for days used in a project
- Ensure payment is received for classroom training courses prior to the course taking place
- Maintain the deferred income spreadsheet
- Share responsibility for the petty cash tin and debit card
- Assist with providing quotes for engineer expenses
- Create deal sheets and update commission sheets

Office Management

- Ensure all fittings and fixtures are in good repair and contact the landlord when repairs are required as appropriate
- Ensure all stationery, office furniture and supplies are well maintained and ordered in a timely manner
- Ensure the office is kept clear of rubbish and oversee the collection of any recycling or removal of excess boxes etc.
- Liaise with any external bodies for fire safety, health and safety and maintenance
