Legal PA Secretary
Location:- Opportunities in Bury St Edmunds, Cambridge and Ipswich
Based both remotely and within the offices you will be taking on the role of PA Secretary within their Personal Injury departments.
Seeking candidates with strong PA and Organisational skills, supporting the team of Partners & Fee Earners.
Ideally seeking candidates with a Legal or Medical background. This is a true PA role where there would be limited typing/secretarial duties required.
Duties will include but not limited to the following........
o Be the first point of contact for clients and new enquiries
o Arrange for new matter inception, including conflict searches, in conjunction with the Central File Opening team
o Oversee and co-ordinate new referrals and arrange opening of new client matters
o Arrange appointments for your fee earners
o Update client records on databases as required and to maintain records of client enquiries, change of address and contact information
o Initiate and drive the billing process with your fee earners and in conjunction with the Group Lead PA
o Manage transaction requisitions and arrange payment of supplier invoices
o Contribute to your fee earners' financial performance by proactively working with fee earners to manage their matter balances and write-offs
o Running matter reports for billing, matter balances, and file closing
o Proactively support the fee earners' business development activities
o Work closely with the Central Secretarial Services team to ensure any typing requests are completed in a timely manner
o Co-ordinate the return of typed documents and action next steps including amendments where necessary
o Work closely with all Central Services teams to ensure that work is carried out in an efficient and timely manner, reporting any issues to your Group Lead PA
o Carry out searches where appropriate
o Prepare expenses claims on behalf of fee earners
o Proactively identify matters for closure and preparing final billing and/or return of client monies
o Comprehensive diary management for your fee earners
o Ensure meeting rooms are booked, including any equipment and refreshments
o Preparation of Powerpoint presentations for your fee earners
o Ensure you work proactively with your fee earners to forward plan meetings, travel etc
o Work with and instruct the central admin team to ensure all files are up to date, either by e-filing or hard copy filing
