Executive assistant

Your new company

Provide personal assistant support to the Area Head of BII, Head of Market Access and the External Engagement Lead. You will also act as support to the UK Communications Lead, Patient Advocacy Group Lead & National Policy Implementation Lead

Your new role

Complex diary management and gate keeping daily. Minute taking at LT and Directors meetings Conference and Meeting Organisation. Yearly all employee meeting of 130+ staff and external VIP attendees, together with smaller off-site meetings throughout the year. Arrange and manage 4 Town Hall Events a year, with one large off site summer party for 600+ Interaction with the ABPI, EMG and the Governance Committee monthly to ensure all paperwork is received and pre-work prepared prior to meetings held Extensive UK and European Travel Management Liaising with all suppliers, AV teams, delegates, logistics agencies, and creative agencies, HCPs, Patients and Patient Organisations Building PowerPoint presentations for monthly Leadership team meetings, bi-yearly Board Meetings and any Business reviews Drafting agendas for monthly team Meetings, conferences and off-site meetings Track that the budget of the MD, Communications Lead and the External Engagement Lead are on target with no overspend. Full use of SAP/SRM to raise purchase orders and honoraria payments Logging Expenses for the MD, Market Access & External Engagement lead Assist all external visitors for the team, clients, Board Members and overseas employees, with accommodation/transportation/meeting arrangements as required Telephone communication with internal and external clients. Liaise with other PA's within the UK and Globally to ensure up to date communication/diary management/travel requirements are in place Take the lead for the UK at the ECMEA Assistants meetings Upload any required documents to ZINC and ensure that they are co-ordinates through to approval. Consistently adhering to compliance procedures and regulations.

What you'll need to succeed

High levels of integrity and discretion Significant EZ/PA experience at Director and / or Senior Management level Ability to prioritise and handle assignments at any given time while also serving as a go to for all members of a large Senior Operations team Ability to complete complex tasks and projects quickly Ability to communicate effectively written and verbal with a variety of constituent groups such as senior management, peers and outside contacts Must be flexible and able to commit the time required to get the job done High attention to detail with a commitment to quality. Team orientated, willing to support a busy team Enthusiasm and initiative, must be self-motivated and ability to work independently with little to no guidance, react with appropriate urgency to situation that require a quick turnaround, and take effective action without having to know the total picture Flexible and adaptable Excellent interpersonal skills, able to develop and maintain strong working relationships with team and internal/external stakeholders
