My client is based on the picturesque quayside in a newly developed office boasting one of the finest legal teams in the country.

Your new role

To be the first point of contact for coordinating operational activities for the business. This multi-skilled role you will be handling all external and internal switchboard telephone calls to the team following call protocols, dispatching appropriately and to the agreed standard. You will also deal all calls and emails to our client's internal Operations Helpdesk logging and reporting faults and issues. You will also provide admin support and being responsible for updating various databases integral to the business.

What you'll need to succeed

Respond to all telephone calls and emails in an efficient, polite and professional manner, in accordance with agreed standards and guidelines

Announce all incoming switchboard calls to Partners and Fee Earners.

Report all faults on Concept Evolution system, such as heating / air con, plumbing, floods, general maintenance of the building, cleaning & catering requests and lift breakdowns.

For all floors in 3 More London including its tenants Liaise with all key stakeholders to coordinate a range of operational processes to support the client's requirements

Ensuring all audio conference call requests are set up as requested, assisting and advising users accordingly
Provide telephone conference admin support, issuing telephone conference numbers and billing issues with EMEA via email to the service

Build/delete/amend user profiles for new starters and leavers using the Cisco Admin Delete/amend voicemail profiles for leavers using Cisco Unity Connection

Build/delete/amend details for new starters and leavers using the Orbitel call logger and ad hoc telephone records, call records for monthly KPI's via the Orbitel Call Logger

Provide Concept Evolution reports and monthly figures as requested and for monthly KPI's Add/amend details of all users in Smart Stream (HR system)

Responding to and operating in-house emergency procedures as necessary

Where necessary ensuring all telephone faults are reported and recorded to the appropriate product or service provider within the given guidelines agreed, logging, reporting, chasing and fully resolving all faults on a variety of systems

Drive operational efficiencies and promote best practice when undertaking daily activities Coordinate services through a range of IT systems / software applications Ensure a very high standard of accuracy and completeness when inputting data
