On behalf of Lloyds Banking Group, AMS are looking for a Document Manager (Bid/ Proposals) for a 6 month contract based in Edinburgh.

Purpose of this role:

The main purpose of this role will be managing the documents that are being created and ensuring that the formatting of the documents are customer friendly. Working in the workplace savings team within Scottish widows, this workstream looks specifically at Group pensions in which they distribute out to employers within UK. Within the Bid team - they manage end to end new enquiries coming out of the business. manage all outputs they create within the business.

Accountabilities and Responsibilities:
  • Responsible for the look and feel of the proposal document, and for ensuring that it is printed or uploaded to the expected quality on-time.
  • Manage 'document and design' sub-project for any proposal - identify key dates / times and milestones, and continually re-enforce these to the project team; identify document-related risks to the Proposal Manager.
  • Analyse customer's RFP for 'document' requirements (e.g. printing / layout / packaging / delivery requirements).
  • Create the response template, based on the customer's RFP and standard in-house templates or bespoke designs for the specific deal.
  • Populate proposal with content provided by various contributors.
  • Develop tailored graphics / illustrations for inclusion in proposal.
  • Ensure proposal is professionally laid-out and formatted, working with external designers on occasion as required for more strategic specific bids.
  • Maintain version control as proposal is put together (i.e. able to provide a draft copy at any point; maintain a register of content 'status' at any point & identify missing content).
  • Create electronic copies of proposal.
  • Ensure all proposal material is professionally labelled & packaged.
  • Ensure the proposal is delivered on time, arranging and managing courier services or uploads as required.
  • Develop and maintain standard re-usable document template(s).
  • Maintain library of all previously-submitted proposals.
  • Ensure contingency arrangements are in place and tested for print / production, using off-site / external resources as required.
  • In some cases: proofread sections of the document as required.
  • Support creation / design of slides and other collateral for bid presentations, where appropriate.

In order to be successful in this role you will possess all or some of the below criteria:
  • Advanced Microsoft Office skills (Word and PPT), including management and manipulation of long, graphics-intensive documents.
  • Good understand of simple project management techniques (e.g. Gantt chart, critical path, risk identification)
  • Experienced at managing proposal documents - with understanding of overall proposal management process
  • Working for other bid teams - financial services would be ideal.
  • Experience of the Qvidian Proposal Automation software (desirable).
