JOB OVERVIEW

Permanent, Part Time (12 hours per week)

Bellerbys College is a well-established international company based in a modern building in central Brighton, close to the rail station. The college is thriving with atmosphere and a hub of activity. We are looking for an EVC Admin Assistant to join our team to support the educational visits coordinator in the safe running of all on-site and off-site events, visits and trips. You will be required to work 12 hours per week however we are happy to be flexible with days.

This is an ideal role for someone who has a high attention to detail and experience having coordinated trips in a similar educational setting.

KEY RESPONSIBILITIES
  • Manage and organise the Trips email inbox and respond to all queries
  • Use Progresso and Study Global to create accurate student lists for school trips
  • Check student lists with MDT team for each excursion, relay any information to trip leader and EVC
  • Create and duplicate Trip Packs
  • Make travel arrangements for trips, e.g. book coaches, taxi's, purchase train tickets,
  • Maintain up-to-date accreditation details for transport providers used by the college
  • Make bookings at venues for various trips and activities
  • Order packed lunches for excursions off-site
  • Collect review signatures from Trip Leaders, then scan and archive completed school trip paperwork
  • Review and update trip forms and risk assessments
  • Scan, archive and process receipts and invoices related to trips and activities
  • Liaise with academic staff and the Welfare team to forward plan school trips
  • Update the school trips Outlook calendar
  • Support the EVC with school trip administration, chiefly by maintaining an archive of trip documents in a clear filing system on the server with consistent use of file naming conventions
  • Supporting staff with the Visiting Speaker Policy and Documentation prior to visitor arrival
  • Liaise with University Partnership Manager and EVC on Universities engagement, act as internal and external point of contact for the college, and provide support with University trips and visits including the Bellerbys University Fair
  • Co-ordinate and liaise between internal stakeholders
  • Support EVC with management and co-ordination of on-site events, e.g. college photograph and student evenings

EXPERIENCE
  • Experience of working in an educational setting, performing administrative tasks with a connection to safeguarding and compliance
  • Be proficient in Microsoft Office, Progresso and Outlook
