We are seeking......

A Fundraising Assistant who will work as part of a small and busy team to help the Fundraising Department reach their ambitious income targets.

Reporting to the Fundraising Manager, the Fundraising Assistant will help to promote the fundraising activity by producing copy for newsletters, websites and other fundraising resources, as well as supporting the Community & Events Fundraiser with the administration and delivery of bucket collections and events.

Duties and Responsibilities

General

· Handling phone calls from members of the public, colleagues, supporters and volunteers and dealing with them as appropriate.

· Meeting and greeting supporters at all levels of seniority.

· Supporting the Community and Events Fundraiser and the Fundraising Manager with research, Attending and contributing in Fundraising Team meetings.

· Ensuring collection tins and buckets are correctly labelled and ready to use.

· To comply with the Fundraising Regulator's Code of Fundraising Practice

Community & Events

· Supporting the Fundraising Team, and in particular, the Community & Events Fundraiser, in the successful delivery of fundraising events, bucket collections and talks.

· Representing Chailey Heritage Foundation at events outside of normal working hours by prior arrangement.

· Supporting the Fundraising team with distributing event invitations and deal with coordinating responses in a timely manner.
  • Sourcing raffle and auction prizes from local businesses.
  • Responding to queries from third party event organisers/participants Promoting events by updating Events Calendar and publicising events via traditional and online media, including print version of the events calendar.

Other Fundraising Marketing
  • Working with the Fundraising Manager to develop an animal sponsorship programme that supports the charity's therapeutic farm, Patchwork Farm to help generate income.
  • Design and create flyers, posters and other ad hoc print materials for fundraising events and appeals.
  • Write fundraising content for our website to include fundraising campaigns, appeals, news and events.

Newsletter / Mailings
  • Assisting the Fundraising Manager in producing engaging fundraising content for Foundation newsletters within deadlines.
  • Taking responsibility for Fundraising Team content for the staff newsletter.
  • Supervising volunteers with the fulfilment of newsletters.
  • Producing reports demonstrating information such as distribution numbers, open rates of e-newsletters and share with the team on a regular basis.
  • Assisting the fundraising team with distribution of event invitations either by post or email.

Customer Relationship Management system (CRM)
  • Recording all correspondence on CRM database (Harlequin), ensuring information is entered accurately.
  • Running queries and reports relating to events on an ad hoc basis.

In the absence of the Fundraising Administrator
  • Accurately record all donations received by cheque, cash, PayPal, BACS, just giving and other online giving sites.
  • Processing incoming funds and thanking donors/supporters in a timely manner.
  • Taking minutes during team meetings.
  • Maintaining current office systems, including data management and filing
  • Keep the CRM up-to-date with supporters and alumni and ensuring information is recorded accurately and data protection best practice is adhered to.

· Add all event attendees to the CRM database for our records.
  • Support the fundraising team with report production and general admin tasks as and when required

· Update email service provider (Mailchimp) in line with requests

· A candidate who is logical and methodical with their work,

· Someone who is willing to be part of a team including attending/assisting at functions outside normal working hours
