Chelton Brown have an exciting opportunity for an Accounts Administrator to join their growing team in Northampton.

Job Title: Accounts Administrator

Location: Northampton

Salary: Competitive

Job Type: Full Time, Permanent

Hours: Monday to Friday - 8.45am - 5.30pm with 1 hour lunch break, Saturday (you will be required to work 1 Saturday in 4) - 9am - 4pm with ½ hour lunch break

Accounts Administrator - General Tasks:

Internet Banking

Retrieve the banking transactions for the client account from the internet on a daily basis. Reconcile the cheques from the entries and post all receipts to the relative accounts.

General Accounting

Reconcile the pdq entries and compare them with the statements to ensure that they are correct. Reconcile previous transactions from the internet banking sheets.


Reconcile the cash and cheques taken from the previous day from the safe with the entries in the cash book and enter them onto a banking spreadsheet. Print the sheet and complete the banking paying in procedure and take the funds to HSBC Bank on a daily basis.

Paying Landlords/Contractors

Print off a list of all landlords to be paid on a daily basis and check that the payments to be made are correct and modify where necessary. Pay the landlords.

Credit Control

Follow a weekly timetable to issue arrears letters, section 21 notices and check on the previous weeks activity to ensure that the outstanding balances are being effectively collected, following up with telephone calls where necessary.

Entering on Data and Funds for New Tenants

Ensure that all move in funds have been entered onto the computer system on a daily basis. File the standing order mandates and return the tenant file to the property maintenance department for checking and filing.

Deposit Refunds

Ensure that all deposit refunds have been executed on a daily basis.

Rent Reviews

Follow the process off contacting landlords and tenants on a twelve-monthly basis to negotiate and agree rent reviews. Update the accounts system to reflect the review agreed.

General Tasks

Customer service - answer all queries for the department received by e mail, telephone or letter on the day of receipt.

Ensure your desk is left tidy at the end of the day - no cups or glasses should be left on desks. Not more than one cup or glass should be on each desk during working hours. No food should be eaten in the letting office.

Provide assistance to other team members during holiday periods as and when necessary.

Make sure that lights and all equipment are turned off at the end of the day except the file server, telephones and fax machines.

Accounts Administrator - Qualifications:

- Must have at least 5 GCSEs above grade C or equivalent to include Maths and English

- Recognised accounting qualification would be desirable

Accounts Administrator - Experience:

- A minimum of two years' experience in accounts/credit control environment

- A proven track record of working to and exceeding targets

- Must be a good team player, whilst able to work to personal targets

- Have worked in an environment that offers exceptional customer service

- General accounts experience would be an advantage

Accounts Administrator - Skills:

- Good IT/keyboard skills and an excellent working knowledge of Microsoft Office and competent use of the Internet/emails. Knowledge of CFP property package would be beneficial.

- Attention to detail is paramount together with an excellent standard of communication in both written and verbal English

- Must have a confident telephone manner and be well presented at all times.

- Highly motivated and able to work under pressure

- Good communication skills essential to deal with occasional difficult situations.
