We are seeking a candidate who would like to work for a charity who work alongside the probation service assisting ex offenders. This is a multi purpose position where you will be required to work part as a Duty Officer and partly in the finance function. An interest in working for a charity and within finance and learning is certainly required.

This position will require you to pass a CRB check due to the nature of the business. Our client is a registered charity, working in partnership with the National Probation Service. The aim is to provide rehabilitative services. Their mission is to support ex-offenders from release through to resettlement in the community with the aim of a reduction in re offending and to protect the public.

We are seeking a motivated and detail focused individual to join the team to work in conjunction with the charity's treasurer and Finance Officer to take up responsibility of the below -

Duty Officer Cover

Assist in the provision of double cover arrangements during core hours (9.00a.m. - 5.00p.m. Monday to Friday) which may include undertaking Assistant Officer duties as required by the Manager/Deputy as follows;
  • Maintain accurate records including the day log, residents list and supervision and recording of resident's mealtimes
  • Supervision of residents meal times
  • Work in line with Approved Premises policies and procedures with particular regard to health and safety, confidentiality and role boundaries
  • Support various interventions and coaching of the residents during day time shifts
  • Be alert to any threat to good discipline and support colleagues in dealing appropriately with any incident which may require action
  • Support and collate information to populate and record activity on relevant data base and maintain Monthly Management reports to record activities

OTHER PURPOSE OF POST:
  • To provide a comprehensive administration service to the Approved Premises.
  • To provide financial and accounting support (training given)
  • To provide office and duty cover as required.(training given)
  • To be responsible for performance management information (training given)

KEY RESPONSIBILITIES:
  • Develop, implement, and maintain efficient office systems to include day to day running of office routine, answering telephone and addressing resident /visitor enquiries.
  • Develop and maintain confidential filing systems and index
  • Compile reports and returns as appropriate
  • Record and account for cash transactions i.e imprest balance
  • Monitor and maintain budgets in conjunction with the Finance officer. Work in conjunction with the Finance Officer to include some cover arrangements and shared tasks.
  • Work to understudy and cover key tasks of the Finance Officer to include knowledge of the Zero accounting system or similar software.
  • Oversee financial transactions- oversee and assist all DWP claims and maximise income from resident's board in conjunction with the Finance Officer. Maintain active systematic approach regarding direct deductions and income generation.
  • Obtain, organise and monitor the use of materials and equipment. Oversee ordering of office stationary.
  • Maintenance of a healthy safe and effective working environment including ensuring building repairs and maintenance are reported to the appropriate section.
  • Provide a comprehensive administration of meetings including organisation, preparation and distribution of advance documentation, preparation and circulation of minutes.
  • Undertake confidential secretarial work for the hostel manager and deputy manager including diary management, disciplinary meetings, taking minutes
