We are looking for a Systems Administrator who can bring a fresh outlook to our HR team. This is a great opportunity to expand your systems knowledge through the day-to-day management of our Learning Management System (LMS - Totara) and HR Information System (HRIS - Zellis). You will be responsible for the day-to-day management of our Learning Management and HR Information systems to ensure both the systems and the data held within them:
  • Accurately capture people data to support the HR strategy and business objectives
  • Facilitate continuous professional development of staff

By so doing you will make an important contribution to continuous business improvement and organisational capability.
  • Administer the Learning Management Systems (LMS), including creating and maintaining course information, assigning learners to appropriate training and performance appraisal streams, maintaining system processes, and resolving or escalating technical issues with the supplier.
  • First point of contact for queries relating to both systems (HRIS and LMS) providing support across the business, including password set-up and resets, troubleshooting issues, liaising with stakeholders to ensure data is recorded accurately and input into the systems in a timely manner.
  • Manage and maintain online content in the LMS, including administering e-learning content from external suppliers. Support the creation and updating of internal e-learning content using Articulate, working with L&D colleagues and Subject Matter Experts (SME's).
  • Coordinate HR system "business as usual " activities including but not limited to: maintaining the post and hierarchy architecture; maintaining and updating the existing My View (frontline user-interface) functionality, including online form workflows, background workflow configuration, delegations and form profiles; and, coordinating user and security profiles.
  • Make sure the HR system elements are functioning as configured and support efficient and timely processes with the payroll side of the system.
  • Review and develop administrative and IT processes for both systems (LMS & HRIS), as appropriate, to implement more effective ways of working e.g. data uploads from linked systems including Time and Attendance and other IS systems across the business.
  • Build, update and generate accurate management information reports to meet the requirements of internal and external stakeholders, including monthly people management reports, training metrics, compliance reporting, learning needs and evaluation reports, as well as ad hoc reports as required.
  • Support HRIS and LMS projects, including improvements, configuration changes, planned maintenance, upgrades, testing and rollouts.
  • Develop system user guides/training material and other systems documentation as required; provide coaching and training for colleagues using the systems in a management, administration or training capacity.
  • Work in partnership with the wider HR team and business managers to ensure the accuracy of data, including regular data cleanses, systems updates, and resolving systems issues.

  • Excellent attention to detail.
  • Self-motivated, able to work without constant supervision and turn work around quickly whilst still maintaining excellent levels of accuracy.
  • Able to work effectively as a part of a team demonstrating a hands on, energetic style and 'can do, will do' attitude to deliver a high quality of service to customers and Whistl stakeholders.
  • Flexible and adaptable with the ability to prioritise own workload to meet conflicting, varied and demanding deadlines.
  • Problem-solving skills, with a curiosity and tenacity to resolve issues.
  • IT Literate - proficient in the use of MS Office including intermediate MS Excel and MS Powerpoint skills.
  • Able to deal with confidential and sensitive information in a professional manner.

Desirable Skills

  • Experienced in administrating HR and/or Learning Management Systems, with exposure and experience of managing workflows around HR, payroll and training processes.
  • Experience in working with Articulate Storyline and/or Articulate 360 or Zellis (Formerly Northgate ResourceLink) would be an advantage.
