About the Role

We are currently looking to recruit a Legal Secretary to join our busy and friendly Clinical Negligence team based in Bath.

Our Clinical Negligence department specialises in medical and dental claims and inquests, acting for injured people in claims against doctors, dentists and hospital trusts.

As a Legal Secretary you will provide an efficient and effective secretarial & administrative support to the Clinical Negligence department, to ensure the department functions effectively, achieve its objectives, and that work complies with internal quality standards and external requirements.

Key Responsibilities

Clients & Work

* Manage an administrative workload under the guidance of fee earners

* Provide administrative support to fee earners including file-opening, telephone management, audio-typing, filing, archiving, photocopying, email management, dealing with post

* Draft documents and bills from instruction using appropriate precedents and templates to accurately reflect fee earner instructions

* Collate bundles whether for hard copy or electronically

* Undertake basic legal processes, under supervision, such as obtaining relevant documentation, arranging case meetings, arranging funding, liaising with the court, completing relevant forms and processing monies.

* Build relationships with fee earners through hard work and excellent levels of responsiveness to requests

* Correspond with clients as necessary through telephone, email, letter and face to face. Provide excellent client service at all times

* Participate in relevant firm wide and department training as appropriate, including that relating to risk & compliance

* Check to ensure all work complies with risk management policies and procedures, in particular with regards to file opening processes. Audit files with the department to ensure files comply with risk management policies and procedures

Growing the Business

* Provide administrative support for business development and marketing activities including booking facilities and refreshments, assisting with preparation presentation materials and associated documentation

* Update the client relation management system to input data and manage the client information through the system including adding contact details, referrals and new clients.

* Build relationships with 3rd parties (such as agents, referrers, experts and other solicitors), under supervision, by acting as point of contact, responding to enquiries and building a good rapport

* Act as an ambassador for the firm at all times

People & Culture

- Provide support for designated fee earners and act as a resource for the wider team, providing help where required

- Fully integrate into the department and team. Work closely with other members of the team to ensure work is done to expected standards in required time frames

- Manage diaries (both individual and group) to ensure key dates are adhered to

- Over time, to provide support and act as a 'buddy' to new starters including supporting the IT induction

- Liaise regularly with contacts in other departments and the business function teams across the firm, building mutually beneficial relationships

- Coordinate team activities such as meetings, training or social activities

Financial & Operational Excellence

- Time record for aspects of work where appropriate

- Learn and embrace firm policies and business processes, ensuring compliance particularly with regards to confidentiality, security , data protection and file retention and destruction requirements

- Ensure adherence to all affiliations and compliance with appropriate regulations, policies, etc

- Make effective use of the relevant firm IT systems and to adopt a paper-lite way of working

- Input into procedural changes, making suggestions for improvement and efficiencies.

About You

Knowledge

* Minimum of 5 GCSEs A-C (Including English and Maths)

* Secretarial or administrative qualifications are desirable

Skills

* Previous experience within a secretarial role

* Previous experience within a legal environment is desirable

* Excellent organisation capability with the ability to effectively prioritise
