Salary: £32,000 - £39,000 per annum

Duration: Permanent

Hours: Full-time - Monday - Friday

An academic institution in Central London is looking for an experienced Accounts Manager / Bookkeeper to work in a mostly sole role and assist the part-time Accountant in their duties on the one day they are in per week. This is an excellent opportunity for anyone looking for some variation in their role as there are many additional responsibilities outside of accounting in this position and candidates will need to be comfortable with these additional responsibilities when applying.


  • To be responsible for preparing accounts and all financial activities up to Trial Balance especially:
    • Working with the College Accountant in the preparation of month end management accounts for Council and the Finance Committee and collating information on a regular basis
  • To organise the book-keeping function and ensure that the accounts are in order for month and year-end
  • To manage the College's banking activities
  • To keep a running total of the bank balance on a day-to-day basis (handling cash and cheques for payments and receipts, and the petty cash system)
  • To assist the College Accountant with financial analyses and with details of cash flows and forecasts as and when they are needed
  • To handle all accounts enquiries, including auditors
  • To support the College Accountant with the preparation of budgets, forecasts and annual reports
  • To service the Finance Committee
  • To prepare statutory accounts in the format provided by the auditors, and assist in producing finance-related reports for Council
  • To administer the pension scheme (SAUL)
  • To liaise with external Accountant regarding the payment of salaries
  • To support the Academic Registrar in financial matters (funding agreement, lease issues, liaising with external Accountant, salaries and auto-enrolment for pensions)

  • To develop and manage external bookings and events
  • To liaise with the property management company of College's landlords regarding the service charges (heating, lighting, alarms, security etc), and report any issues regarding the College's responsibility as tenant for general maintenance
  • To ensure that the College is in compliance with all Health and Safety and fire regulations (including the organisation of fire drills, management of annual DSE assessments, etc.)
  • To oversee security arrangements for College lectures and events
  • To liaise with the Head of Communications Technology over IT, AV, and telephone systems

Other Duties
  • To participate in the staff rota for coverage of lectures and outside bookings
  • To work late evenings as required (for which time off in lieu is arranged)
  • To undertake such other duties as may from time to time be required
Person Specification
  • Strategic and proactive approach to facilities management
  • Good IT skills (Excel, Word, etc.) and experience with SAGE.
  • Knowledge and experience of book-keeping and accounting
  • Good writing and communication skills
  • Able to work well in small team
  • Able to work under pressure with minimum supervision
  • Good interpersonal skills, especially in the role of the public face of the College
  • Flexible about working hours
  • Reliable and self-motivate
