A fantastic opportunity has arisen for an experienced Finance Manager.

Reports to the Finance Director

Company is changing its operational system this summer - will be a new system for everybody

Business has 2 revenue streams

One staff member is responsible for AP, premises and all operational duties such as vehicles and mobiles, telecomms and security

One staff member is responsible for basic MI prep, invoice discounting, VAT and company secretarial

Potentially there could be a part time / junior AP clerk in the team

  • 25 days holiday and stakeholder pension, other benefits discretionary
  • Standard hours are 9 am to 6 pm but Finance Manager will be expected to work the hours necessary to fulfil his or her duties.
  • Car parking available

  • Must have good management experience, confident and assured
  • Experience in a business that analyses revenue & margin by job
  • Knowledge of Sage accounting software an advantage
  • Experience of Invoice Discounting would be helpful

Duties - immediate

The following list is expected to take up to 85% to 90% of the FM role, say 4.5 days per week
  • management of 2, possibly 3 members of staff. Management includes but is not limited to ensuring the team fulfil their own job specs, making them effective, looking for efficiencies and better ways to carry out their duties and conducting annual / continual appraisals
  • ensuring monthly MI is completed by end of 3rd week of the new month. Typically, the first 2 weeks should be preparation and review and the 3rd week will involve job analysis and all reconciliations
  • preparation of the annual overhead budget
  • annual audit and preparation of Accounts
  • updating the annual Forecast and the MATs file each month (MATS = moving annual targets)
  • credit checking and protection of new clients and calculating monthly exposure to non-protected debt
  • analysis of Systems Integration invoices to see the margins made on equipment and labour
  • recommend weekly AP payment runs in conjunction with the 13 week cashflow. AP runs are carried out weekly but the business could save time by insisting on 2 big and 2 small runs each month
  • responsible for the Group payroll on Sage (only 3 employees) and the monthly salaries journal for all staff
  • ensure that staff can at least cover basic duties for one another in case of sickness or holiday, for example making a payment to a supplier or raising and sending out a sales invoice
  • Processing of expenses, credit cards and monthly MI preparation are examples of duties which take too long and should be speeded up

There should be on average a half day per week spare to carry out ad hoc duties not listed here.

Duties - future

As and when the above is working well, the Finance Manager should aspire to taking on more duties off the Finance Director.
  • preparation of the Finance section of the monthly Board Powerpoint
  • analysis of Rental invoices which is more involved than Systems Integration invoices
  • management of Fixed Assets. FA are controlled on a spreadsheet which calculates depreciation. FA are the key driver of the Rental business and the largest figure on the balance sheet
  • basic preparation of the monthly 13 week cashflow
  • taxation matters
