Colchester Institute is looking for a Sales Ledger Assistant to support the activities of the sales ledger and treasury team including credit control. The successful candidate will assist with all aspects of the sales ledger, maintaining up to date records, accounting for monies received and issuing invoices and credit notes as required in accordance with the College's Financial guidelines.

You will have a good standard of general education with a minimum of 5 GCSE passes or equivalent (9 - 4 or equivalent) and should include English and Maths.

Applicants should have demonstrable experience of working in a sales ledger team and of credit control duties.

JOB DESCRIPTION

JOB TITLE: Sales Ledger Assistant

RESPONSIBLE TO: Sales ledger and Treasury Manager

LOCATION: Finance Department

SALARY: Scale 4 - Range 15-18 (£19,187 - £20,900)

HOURS: 18 - 20 hours

PURPOSE STATEMENT:

To support the activities of the Sales ledger and treasury team including credit control.

MAIN TASKS:

To assist with all aspects of the sales ledger, maintaining up to date records, accounting for monies received and issuing invoices and credit notes as required in accordance with FRAP guidelines.

Issue timely reminder letters and initiate debt collection activities in order to safeguard invoiced amounts.

To deal tactfully and sensitively with queries arising from colleagues, students and external customers.

To assist with ensuring bankings are prepared to deadline for collection; tills are correctly reconciled and all receipts and payments accurately analysed and posted.

To oversee administration and payment of cash advances, ensuring monies are available as and when required, complying with FRAP at all times.

To assist with the reconciliation and control of the petty cash records.

To assist with the administration of Educational Visits, to include the setting up of visits on the Online Store and setting up new products for sale and providing reports and refunds.

To process cash and cheques paid in through the finance till and associated reception duties on a rotational basis.

To assist in the month end close procedure and the preparation of management report summaries.

To set up and monitor standing order payment plans and RCP payment plans.
