An exciting new opportunity has arisen, working for our client - A charity based in Ilford for an experienced Finance and Payroll Manager with excellent bookkeeping and budgeting skills plus a knowledge of charity accounting. The successful applicant will be self-motivated, able to manage charity budgets, have bookkeeping skills, excellent financial and systems management and a desire to work as part of a vibrant team.

Our client is passionate about what they do and they are looking forward to adding to their team a new Finance and Payroll Manager who will be responsible for a range of financial activities including bookkeeping, invoicing, banking, reconciliations and reporting to the CEO for all financial matters.

Your responsibilities will be as follows:
  • Providing oversight and undertaking of the work of the charity's accounting functions.
  • Incorporate budget with cash-flow management.
  • Preparing monthly financial and management reports on a timely basis for the CEO.
  • Assisting the CEO to meet all legal financial requirements of the charity and ensuring full compliance with Charities Act 2011 regulations and procedures and Companies Act 2006.
  • Helping with advice to guide and support an organisational strategy.
  • Keeping records of income and expenditure using the charity's bookkeeping software (SAGE). Maintain separate detailed records for each separately funded project in accordance with Charity Commission guidelines for restricted funds.
  • Oversee all income and expenditure.
  • Obtain user payments through the Council's Abacus finance system
  • Preparing the annual report and consolidated accounts; acting as the main contact with the auditors; submission of charity accounts and other statutory reports.
  • Managing cash flow and along with the CEO,overseeing all payments, direct debits income and Gift Aid.
  • Using the accounting package for reporting (SAGE)
  • Ensuring that all pension payments are processed correctly
  • Working with the CEO to prepare annual budgets for approval by the Board of Trustees
  • To conduct a financial analysis when necessary
  • Under taking other one-off projects during the year.
  • Deal with all correspondence and queries to do with financial administration.
  • Assist the Head of Service with preparation of project budgets explain and report project expenditure, recording and reporting.
  • Maintain funding records payments and reporting schedule, paper based and electronic filing and tracking grant payments.
  • Maintain post in and out records and other office, reception and premises records.
  • Assist the CEO by issuing finance related documents.
  • Source and advise of organisational cost savings were possible
  • Ensure controls for financial systems are adhered to as set out in all policies and procedures.
  • Ensure all invoices are issued on a timely basis and income is received.
  • Reconcile income and expenditure
  • Ensure all participants on Personal Budgets are invoiced in a timely manner and to liaise and deal with budget holders as necessary.
  • Update the database as necessary, adding new records or changing information already included.
  • Ensure we have a current up to date detailed clear record system.
  • To be committed to the aims and values of the charity.
  • To maintain good communication with colleagues, participants, volunteers and partner agencies.
  • Display a personal belief in equal opportunities.
  • Attend and participate in internal working groups for training and exchange of information and best practice.
  • To take on additional responsibilities commensurate to the role as and when required.
  • On occasions where meetings or events take place in the evening or on a weekend, time off in lieu (TOIL) will be given.

The Finance Manager who reports to the CEO will have an assistant.
