Office Manager and Legal Secretary (Personal Injury & Clinical Negligence)

Circa £21,000

An excellent opportunity has arisen for a Legal Secretary to join the Personal Injury/Clinical Negligence department of one of the leading firms in Kent. They have a reputation of high standards of client care as well as being approachable, friendly and easy to deal with.

You will be providing full secretarial support to the Director as well as ensuring the smooth running of the office.

The duties include:
  • Audio typing via digital dictation and copy typing of documents.
  • Managing diaries and making travel arrangements.
  • Arranging meetings and conferences.
  • Liaising with clients, experts, counsel and third-party solicitors
  • Preparing bundles and collating witness statements.
  • Filing, photocopying and opening/closing client files.
  • Any further secretarial duties as required.
  • Liaising with the HR Manager and IT Manager
  • Ensure the smooth running of office and allocating/distributing work as necessary
  • Maintaining holiday and sickness schedule and returning to HR Manager and Payroll on a monthly basis
  • Acting as the first escalation point for any office related concerns
  • Liaising with the Branch Partner with regard to office furniture, health and safety compliance and maintenance of branch office (instructing local tradesmen where necessary)
  • Liaising with office cleaning contractor and photocopier engineer as required
  • Undertaking inductions of new staff; office orientation, fire exits, health and safety
  • Regular reconciliation of petty cash
  • Arranging routine fire drills and conducting weekly alarm tests
  • Facilities management
  • Health & safety support
  • Complying with and maintaining the firm's policies and procedures
  • To ensure GDPR and confidentially are implemented

Desired skills required:
  • Great audio typing skills
  • IT Literate
  • Working knowledge of PI and Clinical Negligence
  • Some Office Management experience
