SALARY: DOE

HOURS: Full time i.e. Monday to Friday 9am-5.15pm (with one hour unpaid lunch break) Plus the option to work the occasional Saturday 9.30am - 12.30pm (paid, on a rota basis)

DESCRIPTION:

Mewies Solicitors provide legal advice and customer service excellence to the people and businesses of Skipton, Craven and the Yorkshire Dales.

Due to continued success the company is seeking to recruit a Legal Secretary. This is a fantastic opportunity to join a well-regarded company.

JOB ROLE:
  • To type correspondence and documents including using BigHand digital dictation and copy typing) and provide general administrative support including filing, completion of forms, photocopying etc.
  • This role is working approx. 50% in the firm's Private Client department (Private Client being Wills, trusts, probate, powers of attorney, estate administration and such like) assisting two named fee earners.
  • The other 50% of the role will be working as a float secretary providing assistance where needed (including providing holiday cover for existing secretaries) across the firm in any and all departments including Property, Personal Injury, Employment, Litigation, Crime and Family.

JOB DUTIES (Not limited to):
  • Typing letters, correspondence and other documents primarily using digital dictation (BigHand) but also some copy typing.
  • Using and updating the case management system.
  • Use/completion of legal forms and precedents.
  • Taking telephone messages.
  • Making appointments for lawyers with clients and other parties using Outlook, both in person and over the telephone.
  • Franking outgoing post when required.
  • Handling client enquiries when necessary, both in person and on the telephone.
  • Binding documents and Wills.
  • Photocopying.
  • Filing and carrying out file maintenance and closure procedures.
  • Witnessing documents both in client meetings and occasionally accompanying lawyers on client visits when required.
  • Use of the Land Registry online portal.
  • Making/providing refreshments to clients when required.
  • Carrying out administrative tasks as required by fee earners and/or the Practice Manager (N.B. All secretaries are occasionally required to assist with covering reception, taking post/DX and carrying out banking).

Standards required:
  • Adherence to the firm's rules, policies and procedures as set out in the firm's Practice Manual located on the intranet. This includes, but is not limited to, observance of the firm's Data Protection Policy, Equality & Diversity Policy, ICT Usage Policy and Telephone Usage Policy. Note that the company operate a non-smoking policy on all practice premises.
  • Observance of the firm's Client Confidentiality Code - confidentiality with regard to all client information is essential.
  • A professional, helpful and friendly manner in all dealings with clients and third parties.
  • Punctuality.
  • Displaying the firm's core values in all interactions at work, i.e. being:

  • Approachable (easy to talk to and get hold of)
  • Reliable (in the company's working practices and relationships)

Person specification:
  • Secretarial or touch-typing qualification, including a minimum of 60 wpm touch typing speed (a typing test will be conducted at interview).
  • Minimum 3 years' experience as a professional secretary, ideally as a legal secretary.
  • Experience of typing digital dictation (preferably BigHand).
  • Excellent working knowledge of Microsoft Office and Outlook email (tested at interview).
  • Friendly and helpful attitude, both on the telephone and in person, with clients, colleagues and other third parties.
  • Smart and professional appearance and approach to work.

All positions are subject to a 6 Month probationary period.
