Key responsibilities: Maintain company records or any other documents on the document retention system on the shared drive and Blueprint Prepare agenda and meeting packs, attend and minute any committee meetings as may be requested by the Company Secretary. Manage the Board and Committee diaries Coordinate and prepare responses (including extracts from group structure charts) and documentation to KYC requests from the Firms’ clients Undertake/assist with any project work as requested by the Company Secretary, including company re-organisations Liaise with notaries, external auditors , foreign registrars and company secretarial agencies Deputise and provide assistance to the Company Secretary or Assistant Company Secretary File at Companies House and equivalent in foreign jurisdictions Carryout research where required and draft ad-hoc resolutions on such things as capital alteration, ownership change, dividend distribution, etc. Skills / experience required: Proven knowledge, understanding and experience of company secretarial work Experience of and ability to minute committee meetings and draft resolutions Good Microsoft Office (including Excel) skills Experience of Blueprint or equivalent company secretarial record system preferred ICSA qualified or working towards ICSA qualification preferred Personal attributes: Excellent interpersonal and communication skills Excellent organisation and follow through A team player with a proactive attitude
