Cvent System Administrator
To manage registration and apps systems administration, in particular, but not exclusively of Cvent, on behalf of the company’s clients.
Responsibilities fall into 2 main areas; the implementation stage of the system and the ongoing maintenance of the system.
Implementation stage
Understand the scope of the project, client objectives and measures of success. Know when to consult with others in the business. Make account level decisions on behalf of clients and other stakeholders and act as key liaison with the technology provider. Tasks include:
* Agree and setup meeting planning processes for automated workflow configuration
* Understand and compile requirements for budget subcategories, tax types and rates and savings formulas
* Understand client reporting requirements to ensure proper implementation and report design and delivery
* Organise and document Event Custom Fields to satisfy enterprise reporting and event routing requirements - fields like meeting types, meeting classifications or categories, divisions, business units, regions, affiliates, etc.
* Identify the need for, develop and implement event templates for websites and registration forms, whether by meeting type or other criteria
* Develop and maintain deliverables necessary for implementation (sample events and forms, lists, documentation, training resources)
* Identify enterprise-level and unique event calendars (i.e. divisional calendars, meeting type calendars, etc.)
* Convey information on users, user roles and groups (including any third-party users) necessary for configuration with an emphasis on user permissions, visibility and budget.
* Prepared to facilitate a user training plan or train-the-trainer program
* Prepared to execute a technology roll-out communication plan
Ongoing System Maintenance
* Add and delete users - ensuring users have adequate access to areas of the system they require, without access to account-level areas best reserved for a trained administrator
* Change user permissions and visibility as and when required
* Act as our clients Power User; responsible for training new users on the way the client uses the registration systems. This includes best practices associated with templates and configurations specific to the client and is over and above standard product training.
* Update and maintain field values, data lists, forms and other configurable settings as the client’s business changes or as the company’s processes mature requiring new system uses, or as a result of new functionality offered in future product releases. At the same time maintain client specific documentation
* Manage ongoing client reporting
* Administer, and keep current, the cancelled space list, preferred hotels, list and other sourcing related settings
* Maintain graphic and document libraries to keep them organised and free of clutter, e.g. logos, banners, themed images, hotel addendums, standard contracts, privacy policies, etc.
* Maintain and keep current our clients event templates, ensuring brand guidelines are met
* Enable budget data entry and spot check or otherwise audit financial data for accuracy and integrity
* Coordinate activities between technology providers and internal or external IT resources on integration projects
* Act as a gatekeeper in the workflow (business processes) where such a role is beneficial to oversee and/or review submitted requests and to facilitate approvals or other off-line processes
Skills & Attributes
* You will likely be a current Cvent system admin with at least 3 years of their registration platform or a current system admin with 3 years IT experience and a strong desire to learn about meeting planning and registration
* You will be technology proficient, understand web-based applications and have a general understanding of database concepts (for reporting purposes)
* Excellent communication skills to liaise with all stakeholders including clients, to deliver training and to roll-out tasks
* Strong organisational skills and attention to detail necessary for data management and documentation
* You will be proficient using G Suite, Microsoft and Salesforce products
* You will have project management experience
* You may have some experience using HTML and CSS
* You may have some understanding of meeting-related business processes
