R13 recruitment are currently working with an impressive and highly reputable law firm in their search for an experienced and professional PA/Secretary to provide an outstanding service to around four fee earners, based within the organisations busy support services team at their Norwich city centre offices.
This role would suit an experienced PA/Secretary with Legal experience, who thrives in a fast paced and responsible role. For the right candidate, there are longer term career development opportunities within the firm and a long list of benefits.
Your duties will include:
* Providing exemplary secretarial assistance to Fee Earners, and the Support Services team.
* Organising daily routine to ensure all correspondence, documents and instructions are completed accurately and on time.
* Organisation of team meetings and training sessions, including attendance at team meetings.
* Typing of digital dictations and manuscript amended documents.
* Producing forms and liaising with accounts when required.
* Photocopying /scanning documents, or delegating where possible to a secretarial assistant.
* Liaising with other departments, building excellent internal relations.
* Opening and making adjustments for new clients and files.
* Sending closed files to storage.
* Diary management of relevant fee earners in relation to client meetings and availability.
* Make travel arrangements as and when required, booking meeting rooms and catering.
* Ensure clients queries are dealt with efficiently, taking messages and transmitting appropriately.
* Operate accounts systems and procedures e.g. time recording, charging for expenses, preparing receipts and payments, billing and ensuring compliance throughout.
* Assisting fee earners with preparation for seminars/client meetings, including PowerPoint presentations, preparation of delegate lists and invitations.
You will have:
* A minimum of 2 years experience of working within a Senior PA capacity.
* Previous experience within a legal environment is highly desirable.
* A proactive, personable and professional demeanour, as well as being client focused.
* Dedication to assuring support in relation to wider team goals.
* Excellent prioritisation skills, managing work according to demand.
* Calm, professional and methodical manner, high attention to detail.
* Willingness to go the extra mile when necessary to ensure work is completed on time.
* High levels of competency in using all Microsoft Office packages.
* Excellent grammar, spelling and punctuation.
* Accurate audio typing, minimum of 65 wpm.
This is a full time permanent position, 35 hours per week Monday to Friday, impressive benefits package offered including; 26 days holiday + bank holidays, generous contributory pension, flexible benefits scheme, modern and contemporary city central offices.
Interviews will be taking place ASAP. Assessments of keyboard skills, MS Office capability and general spelling / grammar will make up a proportion of the interview process.
