The Student Conduct, Complaints & Appeals Assistant (SCCAA) will provide professional administrative support to the Student Conduct, Complaints & Appeals Team (SCCAT). The post-holder will be responsible for the delivery of services in an effective, efficient and supportive way and will ensure high quality interaction with stakeholders. The post-holder will also be responsible for creating and maintaining electronic records, to ensure applications can be dealt with in effectively and efficiently.

Duties and responsibilities

Creating and maintaining casework records and logs (‘Casework Records Management’) associated with the following SCCA activities: Student Complaints; Student Discipline; Fitness to Practise; Academic Integrity & Misconduct; Health, Wellbeing and Fitness to Study; Academic Appeals; Termination Appeals; Bullying & Harassment.
• Initial casework triage, using knowledge and experience to determine the most appropriate route to the resolution. Where necessary, to initiate consultation on complicated cases.
• Creating tracking data and ensuring that SCCA records and logs are up-to-date and 100% accurate.
• Ensuring that records and logs are able to support the continuous improvement of the SCCA activities.
• Providing summary Management Information (for example, statistical reports) for internal and external monitoring purposes, creating bespoke reports and statistics as directed.
• Ensuring that written communications with stakeholders are accurate, effective, professional and literate.
• Ensuring that Policy deadlines are effectively monitored and are met.
• Arranging hearings associated with SCCA Policies and Procedures, including: scheduling the meetings, recruitment of panel-members, inviting students, and ensuring that all the relevant information is appropriately distributed to participants in a timely and effective manner.
• Making live and accurate written records of proceedings.
• Drafting outcome message templates.
• Developing and maintaining effective and robust working relationships with colleagues, including (but not limited to) staff in Student Records Teams, Assessment Ceremonies & Exams, the Students’ Union and other areas of Student Services.
• Ensuring record keeping supports the collection of management information relating to the impact of SCCA activities on institutional KPIs.

Skills and experience

Education to A level/NVQ level 3 with GCSE English Language and Maths at Grade C or the equivalent.

Willingness to undertake further education and/or training and development.

Experience of working effectively as part of a team.

Significant experience of use of computerised systems to support activity.

Word-processing with an ability to format and layout documents.

Accurate data inputting.

Experience of taking accurate notes at meetings.

Experience of operating administrative systems and/or processes in a medium or large organisation.

Good written and verbal communication skills.

Effective time management skills.

Ability to work independently, ensuring key tasks are completed to specified deadlines.

Positive and flexible attitude.

Ability to maintain data accuracy.

Ability to demonstrate empathy for those in distress.

Ability to adapt to technological advances in the workplace.

Ability to adapt to organisational change.
