An award winning client based in South Nottingham are currently searching for an exceptional Office Manager who is well organised and able to coordinate and ensure all office administration and procedures are in order. The appropriate candidate needs to be energetic and adaptable and someone who is confident in handling a wide range of responsibilities including executive and administrative support. Being able to use your own initiative and work independently is essential.

Ensuring filing systems are maintained

* Developing and implementing office policies by setting up procedures and

* standards to guide the operation of the office

* Ensuring all company documentation and information is maintained and stored for

* Managing relationships with suppliers and service providers such as ordering

* Co-ordinating with IT on all office equipment requests

* Managing diaries for meetings and appointments and organising schedules

* Welcoming and receiving visitors

* Ensuring security, integrity and confidentiality of data

* Updating staff room duties and internal phone lists

* Adding new documents to the company intranet

* Registration & managing staff sign in/out procedures

* Organising and confirming meeting rooms, organising staffs’ and clients’ birthday gifts

* Overseeing all company vehicles regarding MOTs, servicing, lease agreements

* & repairs

* Dealing with office emergencies & maintenance requests

* Recording all Executives’ guest invites for events and keep up to date

* HR and Recruitment matters

Experience required;

* Excellent written and verbal communication skills

* Proven office management and administrative experience

* Knowledge of office management responsibilities, systems and procedures

* Excellent time management skills and the ability to multi-task and prioritise work

* Strong organisational and planning skills, and the ability to work to tight deadlines

* Attention to detail, accuracy, initiative, integrity and decision-making skills

* Highly flexible, approachable, a team player and able to deal with staff at all levels

* Knowledge of human resources management practices and procedures

The office work 37.5 hours per week Monday to Friday with free parking.
