POSITION: Shared Services Consultant - Maintenance SALARY: £20,000 to £23,500 depending on experience BENEFITS: Company Pension, Death in Service, Simply Health (Health Plan), 22 days holiday (plus Bank Holidays) increasing to 25 days. Plus additional day for Birthday HOURS: Monday to Thursday 9.00 to 5.30, Friday 9.00 to 5.00 LOCATION: RG21 4HG DESCRIPTION: Our client is proud to be one of the UK’s largest and most successful independent relocation and property-related service companies. Due to continued success the company are seeking to recruit a Shared Services Consultant. The purpose of the role is to deliver cohesive services to both individuals and corporate organisations by providing an efficient service, managing property maintenance issues, progressing and resolving these issues within a timely manner and ensuring the company’s professional image is always maintained. JOB ROLE: (Not limited to) Customers: •Take responsibility to manage and resolve property maintenance issues being reported by the Tenant/Licensee and set expectations. •Accurately record reported issue and agree actions and timescales whilst managing expectations. •Liaise with Tenants/Licensees, Clients, Letting Agents and Landlords to resolve the issue, managing the 3rd party relationship. •Proactively chase involved parties to reach a satisfactory conclusion, seeking alternative solutions where required. •Instruct own suppliers/contractors to carry out the work when required and keep check on progress until completion. •Maintain Client reporting related to maintenance issues. •To obtain quotes and instruct cleaning suppliers for regular cleaning and EoT cleaning. •Provide cover when required for Legal and Tenancy Extensions. Processes: •Ensure all processes and procedures are followed. Finance: •Deduct costs out of rent and/or paying contractors. •Minimise any write-offs to HCR. •Processing of invoices for domestic cleaning and ad hoc invoices where required. Learning and Growth: •Performance Management: Contribute to informal reviews, 1:1’s and complete end of year PDRs, addressing development needs & celebrating success. •Communications: Attend & actively contribute to monthly meetings making suggestions & supporting key messages. •Learning & development: Invite feedback and review performance against management standards and role specific competencies/tasks and initiate development opportunities: meet all identified and agreed team/individual learning & development needs: contribute to sharing knowledge across teams. To be successful in the role KPIs (Key Performance Indicators) will be required to be met. IDEAL CANDIDATE:- •Minimum of 5 GCSEs including English and Maths or the equivalent. •Previous experience of working in a customer service environment dealing directly with Landlords and Letting Agents. •Maintenance and tenancy experience within the rental market. •Time management skills – Able to prioritise and work to strict deadlines. •High standard of communication skills – to articulate and professionally construct responses. •Negotiation skills – Win/Win. •Ability to manage own time and adapt to changing organisational needs. •Competent in Word & producing documents, Excel spreadsheets. •Be a team player and be able to work under pressure. •Self motivated and confident with a ‘can-do’, ‘will do’ attitude.
