Job Description

We are looking to hire an Office assistant to join our team! You will be responsible for overseeing the administrative activities of the organization.

The Iconic Troubadour in London is looking for a part time admin assistant. This unique role will have a variety of tasks and be 3 days a week on Wednesday and Friday and one other day roughly 20-30 hours per week. Working during the later part of the afternoon is key as support to the directors who reside in American when they are not in London.

The Role

Assisting the Directors, GM, Head Chef, Accountant and Daily Management Staff on daily projects

Help in keeping a clean and organized office

Opening mail

Organizing invoices - Invoices and credit notes come via email as well as via the physical mail; these will need to be organized put into order by date, company and type so the accountant can enter them rapidly; there might be occasional light data entry into Xero if the accountant requires.

Correspondence to musical acts that play in our venue and events people who organize time at our venue and keeping our calendar updated with these items

Working keep our prices in the POS system updated alongside the General Manager

Updating and printing menus

Ordering Supplies

Answering Phones

Additional general office administrative duties

Requirements:

Proactive self-starter with excellent written and verbal communication skills

Proficient in using Microsoft Excel and Word

Must be a problem solver, very organized and willing to learn new programs (imenu pro, Tevalis (our POS provider), Xero, wix) and tasks and work on adhoc projects when needed

Must be self-motivated and used to working in small teams

Responsibilities:

  • Assisting the Directors, GM, Head Chef, Accountant and Daily Management Staff on daily projects

  • Manage records and information including employee contracts and payroll documents

  • Filing documents in the appropriate place

  • Opening mail

  • Organizing invoices - Invoices and credit notes come via email as well as via the physical mail; these will need to be organized put into order by date, company and type so the accountant can enter them rapidly; there might be occasional light data entry into Xero if the accountant requires.

  • Working keep our prices in the POS system updated alongside the General Manager

  • Making small website changes

  • Plan and maintain work facilities
  • Correspondence to musical acts that play in our venue and events people who organize time at our venue and keeping our calendar updated with these items
  • Perform other office as needed office tasks as directed by the management team

Qualifications:

  • Previous experience in administrative services or other related fields
  • Strong organizational skills
  • Ability to problem solve, quickly learn new skills, prioritize and multi-task
  • Deadline and detail-oriented
  • Strong ability to communicate with a wide variety of people including, employees, customers, suppliers, artists and company directors
  • Can do attitude and friendly disposition
  • Willingness to learn new necessary skills
  • Will not take "no" for an answer when it comes to working with others to problem solve issues
  • Idea that no task is too small or too hard!
Company DescriptionRemote bookkeeping for hip and historic restaurant and music venue in London.

We would like you to have the majority of requested skills but we are willing to provide training on some of the items.

We are in need of an organized candidate that can come in update and speed up our accounting processes, organize our email invoices and email suppliers when we are missing invoices.

Can do attitude, willingness to learn, problem solving and following through are important qualities for this position.
