About the role

The overall purpose of this role is to contribute to achieving the mission of the MRC to improve human health through world-class medical research, by providing proactive administrative support for running events and committees in the Research Programmes Group (RPG) and Strategy Group (SG) and supporting the annual research board and panel member recruitment, as well as the board chair recruitment and induction exercise.

Key Responsibilities will include:

Run meetings/committees/workshops/funders forums:

  • drive the planning of the meeting/committee/workshop
  • attend workshops/meetings to offer on-site support during the event
  • draft agendas, briefing material and papers
  • maintain and produce action lists, proactively monitoring and chasing completion of actions across all areas of work.

Support the annual board and panel recruitment and induction exercise:

  • liaise with colleagues in Web Support team to ensure application page is correct and made available for applications on time
  • compile information for boards and panel to look at for shortlisting
  • draft papers for management board and other senior meetings.

Support board chair recruitment and induction exercise:

  • to manage the recruitment of board chair(s) including advertising, and subsequently collating nominations from vice chancellors
  • to prepare papers for the interview panel and attend the interviews to take notes
  • to announce new chair(s) and co-ordinate their induction programme.

Administration/Records:

  • ensure there is a professional approach to maintaining records of meeting, workshops, correspondence and contact details
  • maintain the upkeep of relevant Council Operating Procedures (COPs).

Staff Management (Team Administrator):

  • ensure they understand their role and can provide good professional cover when team members are out of office
  • set objectives, regularly monitor their delivery and complete annual Personal Development Review (PDR).

Interactions:

  • close working relationship with Events and Committees Team Band C
  • senior management in RPG and SG
  • board/panel/committee members
  • members of the scientific community (UK and International).

Additional Information:

  • need to be flexible in approach to work and hours
  • ability to start early and/or finish late when required for meetings, some overnight stays will be required
  • willing to travel.

About you

You will have the ability to deliver to tight timescales including the ability to prioritise/re-prioritise to deliver on time.

You will ensure you have good quality assurance/attention to detail.

You will have the ability to organise and prioritise your own workload and the workload of others.

You will also have the ability to forge good and collaborative working relationships internally and externally.

You must be a self-starter and motivator and able to stay calm under pressure, you will also be able to liaise effectively with people at all levels and upwardly manage as needed.
