Becoming a Finance Assistant with Travel & Events:

This post is responsible for processing a high volume of supplier invoices for payment via virtual card payment solution for a high profile Conference customer.

The role incorporates a high level of accuracy and judgement, excellent customer service and supplier liaison, within a fast-paced office environment

What you will do:

*

To check and reconcile supplier invoices against conference bookings using Meetings Pro, checking details such as VAT, commission rates and invoice line items.
*

To liaise with the Operations team in regard to discrepancies in accordance with the customer policies, thresholds and approval levels.
*

Process and upload reconciled invoices.

*

To manage and input booking data including authorisation codes into Virtual Card system in

line with customer requirements.
*

To apply the correct GL coding for multiple elements of the booking into the Virtual card

system in accordance with the customer GL Code guidelines.
*

To submit the virtual card request through Virtual Card API.
*

To deploy Virtual Card to supplier in a PCI compliant manner.
*

To update and maintain the Virtual Card system for statement cut off dates and reporting.
*

Daily processing reconciliation if required.
*

Statement reconciliation.
*

Customer statement reconciliation support using the Virtual Card system within financial

service level agreements investigating and reconciling any exceptions.
*

To investigate/ reconcile exceptions in any area of the finance process.
*

Invoice query logging and resolution
*

Processing to customer specific software
*

To issue reports as required or requested.
*

Answering the telephone to support with resolving customer/supplier queries.
*

Monitoring and action emails.

Your experience will include:

*

Attention to detail and accuracy.
*

Minimum Grade C GCSE in Maths & English
*

General accounting / finance / reconciliations experience
*

Strong judgement and assessment skills for the application of coding
*

Excellent computer literacy (Excel) with good data input skills.
*

Knowledge of a financial accounting package.
*

Strong written and verbal communication skills
*

Excellent customer service skills.
*

Excellent communication skills and telephone manner.
*

Ability to plan and prioritise own work in order to achieve deadlines.
*

Knowledge of Microsoft office packages.
*

Experience of working as part of a team
