Operations Administrator - Industry Leader

The Operations Administrator Role:

Our operations administrators work really closely with the rest of the operations team, to help support with admin tasks, whilst also providing general office administration to the wider management team. Our operations team are laid back and friendly, offering continual support and training to you. They are looking for you to bring an eye for detail and some initiative to the role.

The Team You'll Join

Our operations administrator will work with 7 operations advisors. There are 2 operations team leaders and an operations manager that you'll be reporting in to. They work hard ensuring that at least one of them is always around to give all members of the team the necessary support.


+ Assisting the Operations team with general admin tasks, such as small order processing ie computer peripherals, which includes; creating the appropriate paperwork, processing the order on SAP, creating the PO (purchase order) and sending the order to Egton via their portal;

+ Checking customer kit shipments on a daily basis to ensure that kit has been delivered to the relevant pharmacies. Including, tracking the orders via courier website to check delivery and liaising with Egton in cases of non-delivery to ascertain why it has not been delivered, and resolve as appropriate.

+ Checking the department installation filing trays daily to match orders with the relevant Visit Reports and Trainer Reports. Chase any outstanding reports and escalate any issues to the Operations Manager and / or the Egton Regional Manager where necessary;

+ Booking flights, accommodation, car hire and helping to arrange off site meetings for the business area, as required;

+ Answering incoming telephone calls to the office and redirecting them to the relevant individual / department;

+ Providing general office support including distributing post, ordering stationery, keeping the stock room clean and tidy, ensuring the coffee machine is fully stocked, arranging couriers, greeting visitors, issuing and maintaining visitors passes, and ordering refreshments for meetings;

What You'll Bring:

We want to make sure you are set for success; this isn't all about your skills and that is why we would love to talk to you even if perhaps you don't fit all of the following:

+ experience of working in an office administration role
+ computer literate with good working knowledge of MS Office, particularly Excel, and ideally some experience of using SAP or other similar CRM software at a basic level
+ excellent communication skills - in particular, a professional telephone manner
+ friendly and approachable
+ ability to work with all levels of management
+ highly organised and able to multi task effectively
+ good attention to detail
