Legal Administration Assistant. A legal administration assistant is required by a law firm based in chandlers Ford, near Southampton. The legal administration assistant will have at least 2 years previous administration experience in a professional environment with a solid, proven work history.

The successful legal administration assistant will be required to ensure that customer service level agreements and deadlines are adhered to, taking responsibility for a variety tasks including collection and distribution of filing, post and other documents, administration of legal file opening and closures, general filing / archiving and other tasks as requested.

The role requires the legal administration assistant to work quickly and accurately with minimal supervision whilst supporting Fee Earners and Team Assistants. The post also requires the successful legal administration assistant to cover for colleagues when requested including performing reception duties on occasion.

Essentially, strong interpersonal skills and the ability to communicate effectively are essential.

Excellent computer literacy with a working knowledge of Microsoft office suite, particularly Word, Excel and Outlook is also required. Knowledge of H&S standards and regulations would be a benefit.

This is a full time role - 37 hours per week.

KEY ACCOUNTABILITIES:
Accurate photocopying
Responsible for fee earner filing and ensuring all files are kept up to date
Dealing with incoming and outgoing post
Dealing with client enquiries on the telephone, taking accurate messages and ensuring that these are followed up if necessary
Efficient and effective systems maintenance, including file opening and closure
Ensuring the efficient operation of the fax and photocopying machines
Scheduling of deeds
Assisting with archiving and storage of closed files and deeds to ensure easy retrieval
Creating bible CDs
To assist with the collection and return of files from the Commercial Storage Company (Box It)
Assisting with searches relating to Companies House

SKILLS/KNOWLEDGE/QUALIFICATIONS/EXPERIENCE REQUIRED:

Essential
Good standard of education. GCSE (Grades A-C) in English and Maths or equivalent
At least 1 year administration experience
Working knowledge of Microsoft Office suite (Word, Excel and Outlook)
Ability to work methodically, accurately and efficiently
Common sense with a practical approach to problem solving
Good interpersonal skills
Ability to prioritise and work to deadlines
