£25,500 – £27,500

Job Purpose
Event planning, production and delivery of a specified portfolio of internal and external events across all event spaces within this incredible creative venue portfolio including both indoor and outdoor spaces. Contribute to maximising the potential revenue from the Galleries Hire spaces and meeting the revenue targets set for the Events team. Ensure the Galleries maintain an outstanding reputation for event delivery offering exceptional client relationship management.

The Role

- Deal with enquires, provide information; including showing clients and suppliers around the Galleries, explaining facilities available and following up as necessary to secure bookings.
- Ensure all relevant data relating to Gallery Hire, clients and enquiries are entered into the database, internal tracking tools and calendars to enable the Head of Events to monitor progress against targets.
- Ensure full understanding of clients requirements, ensure that expectations on what is and is not possible is communicated to clients in an appropriate timeframe and manner.
- Ensure that appropriate contracts are drawn up and agreed with all Gallery Hire clients and contractors, in consultation with the Gallery’s lawyers, in good time, preferably no later than 6 week before hire.
- Support the head of events as necessary with new business development.
- Planning and organisation of a portfolio of corporate membership events, gifted external events, external corporate events and London Fashion Week events according to the events operations manuals and Royal Parks regulations.
- Plan and organise the Galleries’ calendar of internal events including but not limited to Press Views, Private Views, Board Meetings and Council Lunches according to the events operations manuals and Royal Parks regulations and working where necessary with colleagues in the Development team to ensure the events support the fundraising objectives of the department.
- Manage the invitations, guest lists, table plans and RSVP’s for all internal events.
- Brief and consult with the Head of Construction and Buildings concerning Royal Parks requirements, technical and security requirements and ensure risk assessments are in order for all events.
- Escalate all exception requests from clients to the Head of Events who will consult with Head of Construction and Buildings and determine appropriate escalation path.
- Produce event summaries and time schedules ensuring all Buildings, Exhibitions and Visitor Experience staff are fully briefed.
- Build relationships with the suppliers and contractors on the venue’s approved list.
- Ensure bookings are confirmed, paid in advance and that all necessary documentation is in place, including commission fees.
- Build effective working relationships with clients, ensure all questions and requests are answered promptly. Ensure that sponsor events are managed with the necessary sensitivities and information is shared with development on corporate hires for the purpose of prospecting.
- Be on site during all events within portfolio and act as an Operations Manager, ensuring the well-being of clients and guests is maintained, as well as the building being protected.
- Ensure all aspects of events are delivered according to the agreed event schedule, resolving issues quickly and working directly with the clients to manage the relationship.
- Manage post-event analysis in order to support future event planning and allow for a strategic approach to the events programme.

Person Specification

- An excellent track record in both the organisation and management of large scale events and venue hire, ideally in an arts environment.
- Advanced presentation, negotiating and interpersonal skills necessary for effective sales and marketing of events.
- Strong organisational and creative skills.
- Professional and social skills, maturity and credibility.
- Ability to take full responsibility for any task without supervision.
- A flexible approach, with the ability to prioritise and work under pressure.
- Experience of dealing with a wide range of people in both business and social contexts.
- Persuasive, informed and consistent writing skills.
- Meticulous attention to detail.
