Main purpose of this role

The post holder will be responsible for providing flexible, high quality client and office administration for the organisation. The successful candidate must be a resourceful team player with the ability to establish and maintain good working relationships with all contacts and colleagues. It is a varied role that requires excellent organisational, administrative and numeracy skills, a hands-on person with a can-do attitude is a must.

The key focus of the role will be to provide support to the Head of Client Admin and general office support when required. Previous experience essential.

Principal Duties:

- Providing administrative support to the Client Admin team with specific responsibility for accurate data inputting of donations, gift aid claims, tax receipts, banking donations, monthly income reconciliations, correspondence both written and verbal with donors. Ensure donations are allocated and acknowledged within agreed time frames.
- Providing administrative support to the Client Admin team in the preparation of client reports, with online annual report filing and any research requirements.
- Typing and processing, reports and other documents as requested on a daily basis with packages that include Microsoft Office suite (predominately Excel) and their CRM system.
- Maintaining client information on the company CRM system, updating, inputting, maintaining accuracy and completeness of records along with ensuring that all information is kept in accordance with Data Protection guidelines.
- Organise the transition from paper based filling to electronic filing.

Professional Responsibilities:

- Ability to present oneself in a professional manner as a representative
- To maintain confidentiality in as aspects of duties.

The Administrative Assistant will also carry out other duties as may reasonably be required.

Person Specification:

- At least two years experience in an office based administration role
- Proficient in Microsoft Office suite - preferable intermediate Excel
- Diligent and thorough with the ability to pay close attention to detail
- Articulate, excellent written & verbal communication skills
- Strong organisational and planning skills
- Ability to prioritise a varied and pressured workload
- Flexibility of approach & ability to work in a team
- Ability to solve problems with minimal supervision
