Event Operations Executive - Global Event and Exhibitions Organisation
Based in London
Salary: £22,000 - £26,000 (doe) + Bonus + FANTASTIC Career Progression + Excellent Company Benefits.

This role is working for a Global Events organisation; they are recruiting an Event Operations Executive to join their dynamic team!

Purpose of the role
The Event Operations Executive will be responsible for delivering first-class service to the speakers, sponsors and exhibitors whilst supporting the Operations Manager in creating and delivering flawlessly organised events within the budget.

Candidate Specification

- Experience in conference and/or exhibition organising is essential
- Ability to multi-task and handle a heavy workload under pressure
- Quick learner, able to adapt within a dynamic environment
- Proficient user of Microsoft Office (Excel, Word, Outlook etc.)
- Ability to work as part of a team but also on own initiative
- Forward thinking, flexible and able to trouble shoot
- Excellent customer service skills with a meticulous eye for detail
- Good humoured, positive attitude

Event Operations Executive Responsibilities

- Main point of contact post sale for sponsorship and exhibition clients
- Supervised fulfilment of packages & delivering top level client service
- Sourcing of and liaison with external contractors including stand contractors, venue, printers
- Produce exhibitor manuals, event signage, event/show guides & other associated literature
- Attend event and be on-site point of contact for clients
- Post event sales reconciliation
- Add to and update booking system and produce statements of income
- Chase suppliers for event invoices and ensure timely payments of invoices,
- Prepare budget, management of event expenses and statement of income
- Liaison with suppliers such as venue, A/V, printers, travel and accommodation agencies.
- Arrange AV, documentation production, shipment, badges for events and travel & accommodation for staff under supervision
- Liaison with Customer Services & management of bookings for events
- Set up and run registration, take payments and collect debt onsite
- Onsite management of speakers, delegates, exhibitors and sponsors
- On the day event liaison with suppliers, i.e. catering, AV, venue
- Venue site visits where necessary
- Post event follow up and completion as per the event checklist
- Learn how to use internal systems
- Networking and communication with team
