Title: Procurement and Planning Coordinator

My client is a global leader in providing innovative, high-quality dosage forms and solutions for the health care industry. They provide a comprehensive array of advanced solutions to pharmaceutical and nutritional customers from formulation through clinical and commercial supply.

The ideal candidate will have a pharmaceutical or biotech background with a track record in procurement and buying.

Job Purpose:

Partner with internal stakeholders to ensure that supplies are available for use by the relevant department as required, ensuring that quality, cost and supplier agreement terms and conditions are actively managed through strategic sourcing plans and supplier relationship management. Ensure compliance with company policies while providing purchasing expertise in tendering, negotiation, planning and contracting with suppliers.

Key responsibilities and accountabilities:

Strategic mind-set, category management, day-to-day purchasing and material planning

Ensure business continuity through availability of supply of the correct grade and specification of materials for both clinical trial (CT) and commercial manufacturing

Secure supplier / product sourcing for the site.

Develop and implement strategies to reduce costs and improve service from suppliers.

Liaise with project management on CT manufactures and warehouse, and operational teams on Commercial manufactures to ensure that materials and supplies are available on time for Client projects in line with the master production schedule

Develop and proactively manage relationships with suppliers to ensure the quality, cost and delivery performance is maximized.

Assist operational teams with preparation of document and investigation into capital items.

Provide expertise to the operation in capex negotiation to secure optimal pricing for major equipment purchases

Report to finance progress against CPAs.

Assist with planning and logistics of site scheduling activities through stock and purchase planning, coordination of validation and maintenance requirements and liaising with PM team to ensure customer needs are met.

Maintain optimal inventory levels in line with site scheduling activity, noting working capital targets, working closely with the production planner and warehouse roles

Maintain risk mitigation strategy for key components ensuring the second sources are in place where appropriate

Manage contract, supply agreement and pricing negotiations with suppliers.

Manage supplier returns/invoice queries

Enforce global procurement policies and procedures, including a competitive bidding process

Identify and implement operational efficiencies, such as invoice consolidation, supplier consolidation, etc.

Ensure supplier compliance to company requirements.

Introduction and monitoring of key procurement processes, rules and policies

Establish procure to pay policy, incorporating the global procurement policy

Ensure compliance with Anti-Bribery and Anti-Corruption policies and documentation requirements, collaborating with legal where necessary

Ensure implementation of agreed savings with suppliers.

Collaborate with finance and global procurement to identify and implement working capital improvements.

Support the global procurement team and local supply chain and finance.

Complete procurement training and capability building program modules (online).

Process, Systems, and Knowledge management. Development, maintenance and monitoring of key procurement databases.

Maintain and upkeep spend database related to purchases

Maintain supplier profiles and savings documentation via SharePoint platform

Development and maintenance of supplier scorecard and dashboard of key indicators where applicable

Maintain and submit monthly savings tracking files

Develop a pipeline of savings projects to deliver savings targets

Specific Skills:


Experienced in Sourcing and procurement with supplier development and relationship management experience

Able to communicate well via written media. Strong analytical (Excel) skills.

Able to work with minimal supervision.

Track record in negotiation and strategic procurement with ability to work under pressure to tight deadlines.

Dynamic materials and logistics planning in line with the site activity schedule

Exposure to Enterprise Resource Planning systems, ideally SAP or similar


Direct experience within the pharmaceutical or biotechnology industry.

High level of computer literacy including all MS office packages.

Strong organisation and administration skills.

Commercial acumen with ability to appreciate the impact of their actions

Strong financial awareness

Computer skills: Must be adept in use of MS Office, particularly Excel and Word, MS project, ERP systems (SAP), internet and e-mail
