We are currently recruiting for a professional and bright legal secretary who possesses general legal knowledge and experience, the float legal secretary will be required to provide proactive, professional secretarial and administrative support to fee earners on a floating basis. Provide backup support to Reception and busy periods on an occasional basis.

Roles & Responsibilities:
Provides a range of secretarial duties including but not limited to the following:

  • Organises and prioritises telephone calls, mail, documents and projects.
  • Schedules and organises activities such as meetings, conferences, travel and departmental activities.
  • Maintains filing and records management systems.
  • Transcribes from tapes, handwritten materials and/or dictation.

Utilises the Firm’s computer systems and software applications.

Prepares legal documents and provide administrative support for partners and attorneys to whom assigned.

Reads and deals with incoming mail. Ensures that outgoing mail is timely delivered. If necessary, routes mail to specific delivery service and follows up on timely delivery.
Establishes and maintains calendar and deadline reminder systems.

Exercises discretion and judgement, prioritise effectively and often handle requests from multiple functional areas and external parties.

Observes confidentiality of attorney-client relationship.
Provides team secretarial support to other secretaries and attorneys to cover other ad hoc requests for help.

Performs overload typing, filing, photocopying, time-sheet entries as requested by attorneys
Works closely with administrative support staff.

Provides first line backup support to Reception to cover absent Receptionists and busy periods on an occasional basis.

Follows the Firm's established document processing methods and procedures, creates, spell checks, edits and proofreads work product to ensure accuracy and completeness. Transcribes from tapes, handwritten materials and/or dictation.

Other related duties and projects as required.

Knowledge, Skills & Abilities:
Ideally 2 years’ legal secretarial experience in order to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision.

Floating experience desirable.

Excellent English language and grammar skills.

Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.

Ability to organise and prioritise numerous tasks and complete them under time constraints.

Ability to proofread typed material for grammatical, typographical or spelling errors.
Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.

Work occasionally requires additional hours to perform the essential duties of the position.
Ability to work effectively and efficiently with co-workers; work as a team to accomplish tasks and produce final work product.

Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.
