Due to staff changes and continued growth we are recruiting for an Event Coordinator for our academic gowning division. It’s an exciting time to get involved with the graduation division and gowning in particular as we continue to win business and drive the business forward. If you’re a meticulous planner with an eye for detail and a flair for customer service, then this could be the role for you.
The Role:
Customer management
Acting as the dedicated point of contact to allocated client/accounts the Event Coordinator is responsible for overall client contact both throughout the year and during the event. From facilitating event preparation meetings and conference calls to capturing client requirements and translating them into actionable plans the Event Coordinator will need to provide an extremely high level of customer service in a professional, approachable manner. In addition, from an ‘IT’ standpoint the Event Coordinator will work closely with other team members on the import and management of data on the online ordering portal.
Event preparation
Operating in a variety of venues throughout the UK the Event Coordinator will be responsible for ensuring all pre-event preparation is completed on time including; planning and overseeing material packing, developing timelines and forecasts for packing and shipping, managing the in-house team of packing staff, working with the graduation team to staff events, and planning and booking all required hotels, venues and freight transport
Event Management
Once on-site at an event the Logistics/Event Coordinator will be responsible for overall event management. Not only operating as the key point of contact/accountability for our clients but also our team at the event. Best-in-class customer service providing an unparalleled graduate experience is vital to our operation and the Logistics/Event Coordinator will deliver meticulously planned and executed events:
The person:
We’re looking for someone who is meticulous – a planner and a doer with a keen eye for detail and the ability to work on both macro and micro levels. Deadlines aren’t a problem for this person – nor is working under pressure. We’re a small team so collaboration is key, as is the ability to be autonomous. A high level of proficiency with the MS office suite is essential.
The role is primarily based in Cornwall with time split between our head office (in Lelant) and our gowning warehouse (in Redruth) and approximately 20% of the time being based at events throughout the UK (especially in our peak period pf July). Ideally candidates should be in possession of a full, clean driving license with their own transport to/from the office
